JOB SCOPE

As the Housekeeping Coordinator, you will be the central hub of our housekeeping team, ensuring smooth daily operations. Assigning tasks to Room Attendants, dispatch House Attendants and Runners to fulfill guest requests, and support the overall efficiency of the housekeeping department.

JOB DESCRIPTION

• Responsible for all calls coming, handling guest request, lost and found and knowledgable in housekeeping operations;
• Maintaining records related to day to day operations, updating housekeeping data board, such as expected showroom/inspection date;
• Prepare the VIP amenities list;
• Co-ordinate with Front Office department and other departments if needed;
• Co-ordinate with the Engineering/ Maintenance department for room maintenance issues;
• Responsible in the proper handover of responsibilities in detail to the next shift;
• Maintain stock supplies ( guestrooms amenities, stationeries, cleaning materials ...etc);
• Assist the Executive Housekeeper for preparing the monthly report and budgets;
• Responsible for the upkeep of the Housekeeping office (filings and maintenance ...etc).

JOB REQUIREMENTS

• Degree/Diploma in Hospitality and Tourism Management.
• Three (3) years of relevant working experiences and exposure in hospitality industry.
• Strong leadership in leading a team.
• Excellent interpersonal communications and organising skills.
• Able to work independently and as well as with the team.

Job Description

• Plan shipment schedules based on customers' orders and timeline requirements
• Negotiate with carriers/freight forwarding companies and perform freight booking
• Ensure timely and accurate shipment by monitoring delivery schedule and coordinating with purchasing, sales and warehouse personnel
• Prepare import/export permits and liaise with Singapore Customs officer for any queries received
• Liaise with logistics company on the trucking schedule to ensure shipments are managed within the free time
• Prepare commercial invoice/packing list/BL shipping instructions & other shipping documents
• Ensure all shipping documents are accurate, complete, and comply with industry regulations and company standards.
• Arrange and track courier packages, and resolve any issues/delays that may arise
• Attend to queries/feedback relating to shipments - address discrepancies, handle delays, and proactively find solutions to shipping issues
• File and update administrative records relating to shipments
• Handle all other ad-hoc duties as assigned

Requirements

• Minimum GCE ‘O’ Level, preferably with 3 years relevant experience
• Good knowledge of Import / Export Shipping procedure and documentation will be advantageous
• Familiarity with Incoterms will advantageous
• Certificate for customs competency test for Declarants will be advantageous
• Computer literate in Microsoft Office Word and Excel
• Good communication skills.
• Good organizational skills, detail-oriented and flexible
• Able to work well under pressure in a fast paced environment

Your Role

The Studio Coordinator partners with both the Studio Directors to collectively drive the operational success of the Lifestyle Studio within the Singapore office. This role sits at the hub of the studio, providing a single point of contact for internal, external, and firmwide team members. A self-starter with an entrepreneurial perspective, they own and manage aspects of studio operations allowing leadership to focus on strategic matters.

What You Will Do

Studio Performance

• Proactively support effective management of Studio business meetings; be an active attendee
• Prepare Studio Leaders for office-wide business meetings; document and manage action items
• Download, analyze, and prepare reports for Leadership review; Partner, as needed, with Design Managers and other studio leaders on matters including but not limited to financial or people matters
• Identify and suggest areas for improvement
• Support talent engagement and connectedness through research and execution of Studio events and social gatherings; manage budget as needed; Partner with leadership to enable a strong and healthy culture in the studio

Studio Operations

• Own and manage Studio-wide meetings; create and maintain schedule; work with studio leadership to develop agenda; manage action and follow up items; secure space and refreshments as required
• Partner with Office Services and IT to plan for software and workspace updates and changes
• Work with Human Resources on talent related initiatives such as Professional Development Program (PDP) process monitoring and tracking; onboarding monitoring and tracking; new hire set up (in partnership with IT)
• Maintain awareness of and help manage response to firmwide and regional communities
• Other activities such as managing the studio PTO calendar
• Maintain a clean, organized studio space, physically and digitally

Administrative Support to Studio Leaders

• Provide administrative support, including but not limited to calendar management, travel arrangement, and managing expenses
• Assist all studio staff as needed with subject matter expertise on firmwide tools;
• Manage meeting arrangement/coordination (Ensure that logistic are arranged in advance i.e. meeting invite, room booking, F&B arrangement, agenda & presentation preparation as well as IT/ technical requirement) for meetings
• Manage sensitive and confidential information

Your Qualifications

• Minimum 3 years of working experience in similar capacity
• Good communicator and confidently work across all levels
• Good people skill as you will be dealing with other board members
• Demonstrate excellent professionalism, trustworthy, integrity
• Proven attention to detail, with excellent organizational and technical skills
• Must be able to determine priorities, take ownership of tasks, and exhibit a high level of initiative and follow-through
• Established success working on multiple tasks/projects at the same time
• Ability to be able to manage complex situations
• Microsoft Office experience a must
• Adobe Suite/In Design experience a huge plus

- Coordinate and liaise with clients, consultants, trade contractors or

authority's officers on site survey, site arrangement & work progress.

- Possess a good understanding on client's as-built drawings and

specifications for site survey.

- Handle complaints related to the projects.

- Ensure proper communication and liaising with clients on project schedule.

- Assist in preparation of claims submission as well as certification of claims to clients.
