General Overview

This position is part of the Technical and Project Development Group providing contract administrative services to Technical and Project Development group. He/ She shall support the Contracts Manager in ensuring that contract management process (pre and post contract award) is cost effective and efficient and meets project schedule and the established KPIs; and complies with Standard Operating Procedures.

Duties and Responsibilities

The incumbent shall work with internal stakeholders and the reporting manager undertaking the following activities for Pre and Post contract administration relating to the engineering, procurement, construction and installation (EPC contracts) and consultancy services contracts:

1. Strategic sourcing and prequalification of potential tenderers
2. Preparation and issuance of Request for Tender / Quotation (RFT/RFQ).
3. Managing tender process including tender clarification and evaluation, drafting evaluation report with recommendation to seek internal approval
4. Drafting contract and supporting negotiation & finalising contracts.
5. Post-award contracts administration including payment verification and identification of non-compliance with the contract requirement.
6. Management of change orders including evaluation and drafting report with recommendation
7. Warranty claims during defect correction period.
8. Drafting letters as and when needed relating to contractual issues

Work Experience Requirements

• At least 10 years’ working experience in tender and contract administration in Oil & Gas, Construction, Marine or equivalent
• The candidate should possess the following attributes:
• Experience in EPC contract administration (pre and post contract award) is an advantage
• Sound knowledge of contract terms and conditions.

• Tracking of DMR (print) performance and digital/social performance through clippings
• Prepare as-requested PR presentations/decks

Samples Coordination

• Lead and coordinate regional rotation between Singapore, Malaysia and Thailand
• Receive and forward franchisee (Indonesia) samples
• Manage and ensure timely return of GGAP (HQ) consignment samples

Franchisees including Indonesia, Philippines

• Coordinate and verify all shoot requests
• Liaise with DOS teams to provide samples support for franchisees
• Track and monitor franchisee performances across print, digital and social

Local events and activations

• Working with local teams on proposal, execution stages and on-site support if necessary

Regional events and press trips

• Support regional team to achieve event objectives including PR, brand image and visibility
• Lead and support all event logistics including hotel rooming, transport and with suppliers
• Consolidation of event reports to track performance

VIP and KOL management

• Support regional team in all VIP/KOL matters
• Liaise with HQ contacts for various approvals including appearances, dressing and collaborations
• Support and track all teams to cultivate and engage Gucci target relationships including VIPs and KOLs

Requirements:

• Degree in Marketing or Mass Communication
• Highly competent in MS Office applications
• Disciplined, well-presented with strong communication, interpersonal and organizational skills
• Resourceful, results oriented and a good team player
• Ability to manage multiple projects and timelines concurrently
