An Assets Operations Senior Specialist's role is to support the Assets Product team as a representative of the Payment Operations organisation - to ensure that new and current products, features and processes scale efficiently and securely.

Here’s how you’ll be contributing to the Operations Team

• Provide daily support to the stakeholders involved in the launch, maintenance and improvement of products owned by Assets;

• Maintain consistent and high level execution of recurring responsibilities within the Assets domain;

• Work with Banking, Treasury, product managers and engineers of multiple teams to find solutions and opportunities for process optimisation;  

• Coordinate new products/partners set-up, testing and launches from operational side;

• Coordinate central changes - communicate with Payment Operations teams, collaborate with stakeholders in - and outside of the organisation (from Finance to Compliance and beyond);

Purpose:
To provide high quality service deliverables to the firm’s Private Equity (PE) Clients you are responsible for, ensuring all deliverables are met and the clients expectations are managed and met on a day to day basis.
This entails reviewing all Financial Statements and disclosures and ad-hoc client deliverables in relation to providing fund administration services to PE clients.
Expected to help improve the processes and efficiencies of the department.
Be subject matter expert of PE Fund Structures accounting and administration processes.

Core Responsibilities:

• Managing financial servicing for a portfolio of PE clients ensuring the smooth running of day to day relationship with clients and consistent delivery of client reporting/ information accurately and on time
• Be an ‘expert’ on designated clients including understanding technical details of their LPA, SLA, Fee Agreement and any technical nuances
• Minimise risk to IQ-EQ by ensuring all procedures and checklists are followed by all team members

Tasks / Duties:
Client Delivery

• Deliver timely quality service to the client to ensure all requests for designated clients are met, ensuring any client/investor queries are responded to within 24 hours
• Complete a review on designated client work (includes NAV, Financial Statements and other Ad Hoc Tasks) and assist on reviews for other teams as required
• Ensure that KPIs are developed, implemented and reported quarterly in accordance with agreed SLA’s

• Plan workloads and utilise support team / additional resources where necessary to ensure deadlines are achieved
• Ensure reconciled cash balances are maintained for clients at all times.

• Ensure our electronic time sheets are completed daily, and accurately for all hours worked and recording ad hoc work completed for billing purposes

Systems

• Understand and use best practice on Investran (accounting platform)

• Ensure client database is up to date and accurate in Investran (contact changes completed within 24 hours of receipt) and Outlook databases for client related changes

Job Responsibility

What do we expect from you?

• To audit all daily income that has been received by the hotel and to ensure that all relevant revenues such as Rooms, F&B and other revenues, are correctly and completely recognized and recorded in the General Ledger accounting system.
• To be responsible for all daily revenues and statistics of the hotel.

How your day looks like?

• Prepare and distribute the Daily Revenue Reports to the Hotel & F&B management Team
• To review all paid-outs, revenue adjustments, rebates and allowances for reasonableness, properly approved with supporting, and to report any deviations from hotel policies and procedures.
• Review on a daily basis the Night Manager’s report
• Guest in-house rate check report, variance must be explained by Front Office
• Complimentary and House use room to come with appropriate supporting document
• Guests checked out with open paymaster accounts (Guest Ledger)
• Guests in house with credit limit exceeded (High Balance Report)
• Revenue adjustments
• Check market segment report.
• Periodically conduct training for Front Office staff.

F&B:

• To verify that all F&B discounted checks are fully justified, properly recorded into POS system and to prepare subsequent reports, as necessary, for hotel management.
• Audit F&B outlet checks void for explanation and approval by the Outlet Managers or Assistants.
• Review all house use and entertainment checks, ensure that they are properly signed.
• Investigate all discrepancies and make necessary adjustments (if any).
• Periodically conduct training for F&B Team.

OTHERS:

• Ensure that the Guest Ledger, Advanced Deposit Ledger and City Ledger balance to the General Ledger on a daily basis.
• Ensure POS and Opera are balanced.
• Ensure audit compliance.
• Account for Other departmental revenue (eg. Telephone, Car Parking)
• To be ready and responsible when assigned to perform any other duties as designated by higher management.
