Senior Officer, Trade Services Operations

Details of Job responsibilities:

1. Responsible for prompt and accuracy of:

- issuing Import L/C and Amendment.

- processing Export L/C advising/amendment & confirmation

- processing Inward and Outward Collection and settlement

- computing fees on transactions and billing to customers

- processing export bills negotiation/settlement

- processing Bills Discounting/TR Financing/Forfaiting.

- following up on unpaid bills and the outstanding fees

- making payment to customer as per instruction

- reporting on Trade activities.

- handling new tasks as and when required.

- issuing Banker’s Guarantees as and when required.

- assess market prices of goods to find out if further information should be obtained where contract price differs significantly from market price.

- checking of Trade Import / Export Documents either as 1stor 2nd checker

2. Check to ensure that:

- customer's application forms submitted are correctly filled up, checked and signatures duly

verified. Any alterations are chopped and signed by applicant.

- transaction requires bank's commitment must be approved by management before

processing or customer’s limit is available.

- payments for outstanding items are credited to our nostro accounts with good value

- documents, which are settled, scanned and are properly filed

- transaction’s name cleared with no OFAC hit.

- accurately performed Vessel Tracking system.

- funding details thru’ CPS system is correct.

3. Assume new role as new product lines may be added from time to time

4. Improve on the processing of product and to shorten delivery time to customers.

5. Provide quality customer services.

6. Ensure transactions thru’ Eximbills system are correctly inputted and accounting entries

accurately posted.

7. Comply to branch policy, procedure and regulation on: KYC, AML, CFT and GRC at all times.

8. Job Scope as listed in appendix enclosed.

9. Comply with all the internal policies and procedures as well as the relevant laws and regulations.

Job Responsibilities:

Support APAC HR Lead to provide full spectrum of generalist scope to internal team by providing sound and professional advice to respective HODs and be fully competent in the all aspects of generalist role within APAC.

a. Performance Management

• Support in yearly performance appraisal cycle
• Drive employee development plans with cross functional team
• Ensure cycle is launched and closed based on timeline set up by HR Lead

b. Recruitment

• Take charge of recruitment of all levels of employees
• Develop sound hiring strategies in terms of short-term and mid-term hiring requirements based on organization needs
• Creation and Update of job descriptions, online job postings, screening of profiles and arrangement of interviews
• Provide support in managing talent pipelines

c. HR Administration & Payroll

• Responsible for timely upkeep of employee information on HRMS
• Ensure timely processing of monthly single cycle processing excluding new hire or resignees
• Acts as the point-of-contact for auditors, payroll vendor, corporate secretary etc
• Perform IR21 as and when required
• Perform monthly CPF submission
• Support in Yearly IR8A submission and verification
• Oversees all work pass applications, renewals and cancellation in a timely fashion
• Manage onboarding and offboarding
• Manage quarterly submission of government paid leaves and ad-hoc MOM surveys including OED
• Facilitate medical check-up and employee vaccinations (relevant to work requirements) and ensure record keeping

Job Qualifications:

• Diploma in any discipline with over 8 years of HR experience in similar capacity or portfolio
• Professional certificates such as SHRM-CP or CHRM is advantageous
• Proven track record in supporting APAC region with solid knowledge in region is required.
• Prior experience in policies development and implementation is required
• Experience in Netsuite is advantageous
• Excellent verbal and written communication
• Excellent interpersonal skills
• Self-driven personality to see to completion of work or project assigned
• High attention to details
• Ability to work in a small team
