Main Duties

Over all in-charge of project order (as per designated project/site) including but not limited to as follows:

· Process order received via PR or WhatsApp group request

· Verify project order details – description/specification, model & quantity

• Source, select and negotiate for the best purchase package in terms of quality, prices, terms, deliveries, and services with approved company vendors
• To liaise and negotiate with vendors / suppliers on project price

· Check price (by order history/ supplier quote) vs PNH budget/cost

· Issue confirm purchase order

· Monitor order status and delivery (e.g. lead-time/payment)

· Update project order list daily

· Liaise with vendor on wrong delivery, wrong order to arrange return or CN

Monitoring and Updating of Sales Outstanding & PO completion inclusive of the following:

· Check and verify any discrepancy on PO highlighted by Admin Team (PO vs INV/DO)

· Amend in system (create new PO or revised PO) if necessary

· For order discrepancy by quantity/model/specs liaise with vendor to check (refer to A.7 work)

· For Partial Delivery - follow up next delivery schedule and advise logistics

· Updating of SO for any changes on confirmed purchased order (cancellation or revision of SO)

· Submit updated SO outstanding report on weekly basis for Admin to process API/DOP

· Co-ordinate with the operation team on product information, availability and delivery lead-time and making sure of on time delivery of order

· To attend to any ad-hoc duties as assigned by the Manager

Requirements:

• Minimum Diploma in Supply Chain/Logistic or relevant qualifications
• Minimum 1-2 years of relevant work experience in a similar role preferred
• Meticulous and able to work independently and as a team
• Able to work in a fast pace working environment
• Able to speak Mandarin is an advantage
• Able to start work immediately

Job Description

The position serves the administration of the Dharma Education Department (DED) to ensure smooth operation as part of the Dharma Propagation efforts in the Monastery. You will be involved in the overall operation, planning, implementing, coordinating and executing of existing and new adult Dharma programmes and projects, including managing volunteers, as well as liaising for logistic and administrative support.

Accounts Executive - AP

( 6 Months Maternity Cover)

Working Location: South, Accessible via Promenade MRT

Working Hours: Office Hours, Mon - Fri, 9 AM - 6 PM

Responsibilities

• Handle vendors’ invoices, including checking, verifying, and posting the accounts payable data into SAP system.
• Check and process staff expense claims.
• Process payments in compliance with company accounting policies and procedures.
• Check and update AP bank transaction daily to ensure all vendor invoice payments are accounted for and posted.
• Prepare and provide vendor payment forecast for funding arrangements to Treasury.
• Prepare and post bank charges, accrual, reversal of accrual and prepayment journal entries.
• Any other duties as assigned.

Requirements

• Degree in Accountancy / Business or equivalent qualification
• 3 years of accounting experience in Accounts Payable
• Experience in using SAP or ERP system
• Proficient in Microsoft Excel
