• Coordinate training requirements and manage related administrative tasks.

• Manage the exit clearance process, including conducting exit interviews and processing final settlements.

General Administration:

• Assign and replace access cards, issue staff IDs, visitor passes, and contractor passes.
• Manage IT access including email IDs, MS Windows access, and laptops; maintain accurate records.
• Support company events, including special lunch arrangements and festive decorations.

Requirements:

• Diploma in Human Resources, Business Administration, or a related field.
• 2+ years of experience in an HR role, preferably with a focus on recruitment, payroll, or employee relations.
• Preferred background in FMCG industry / Food industry.
• Solid understanding of employment laws and HR best practices.
• Experience with HRIS systems and payroll software (e.g., Infotech, Payboy).
• Ability to maintain confidentiality and handle sensitive information.

Job Description:

• Manage the full recruitment process, from job posting and candidate sourcing to conducting interviews and coordinating with hiring managers.
• Partner with the department heads to identify staffing needs and ensure timely and effective hiring.
• Handle applications, renewals, and cancellations of work passes in the compliance with regulatory requirements.
• Serve as the primary point of contact for work pass matters, ensuring timely and accurate processing.
• Use Info-Tech software to manage HR functions, including e-attendance, leave applications, and claims submissions.
• Assist staff with the use of the Info-Tech systems, troubleshooting any issues and coordinating with relevant teams for support as needed.
• Manage end-to-end onboarding and offboarding processes, including preparing necessary documents, conduction tours, and handling exit formalities.
• Provide an orientation tour to all new hires, familiarizing them with the company culture, facilities, and key personnel.
• Prepare and distribute company memos and communications in both English and Chinese to ensure clear and effective communication across all levels.
• Support general office administration tasks as needed.

Job Requirement:

• Diploma or bachelor’s degree in human resources, Business Administration or a related filed.
• 1-3 years of HR experience including recruitment, preferably in the automotive or a similar industry.
• Proficiency in Info-Tech software is required.

Key Responsibilities

• Perform daily accounting and finance duties, including Accounts payable, Accounts receivable, General ledger, Tax and bank reconciliation (By job rotation).
• Manage CAPEX and Fixed Assets processes.
• Oversee timely closing processes and reconciliations, including intercompany transactions.
• Handle monthly journals, audit schedules, and lease matters.
• Prepare assigned reports in a timely manner.
• Prepare quarterly GST reporting (On a rotation basis).
• Ensure compliance with statutory regulations and corporate policies.
• Coordinate and liaise with internal and external customers, such as Financial Institutions, External auditors, Tax agents, Corporate secretarial agents, Local tax and government authorities, Vendors and related parties.
• Assist with the annual audit process and tax filing (corporate, withholding), as well as any ad-hoc assignments.
• Support system implementation and process improvements.
• Analyze accounts and perform reconciliations.

• Oversee daily operations of food and beverage services

• Supports the technical team and construction team for all design matters.

• Understands and familiar with Authority approval/clearance of works including URA, BCA, LTA, PUB, etc.
• Manages design approval process and coordinates with the Clients and Consultants in a timely manner to resolve all technical issues.
• Ensures strict compliance of the design in accordance with contractual requirements.
• Ensures the distribution of all the approved and latest drawings and other relevant documents to the relevant parties.
• Prepares shopdrawings with in-house BIM team and obtains approval in advance to site installation dates.
• Raises queries to Client or handles Client’s clarification on technical requirements pertaining to the Project works.
• Prepares and presents design progress status and slides to KTC management, project team and Client as and when required.
• Strong coordination and collaboration with other disciplines (i.e. Architectural, MEP, BIM, etc.) on design to ensure delivery of high quality outcome.
• Supports tender team and prepares technical tender documents as per specifications for bidding of civil and structural engineering projects as and when assigned.
• Attends Technical Meetings, Coordination Meeting, Site Meetings, etc as and when required.
