Job Responsibilities

1. Coordinating for following Hospitality Arrangements :

• Arrangements for hotel accommodation for Superintendents, guests and block arrangement for crew (Cruise ships)
• Arrangements for transport for Superintendents e.g. car rental, airport transfer & cabs
• Arrangements for courtesy to be sent to Guests and Superintendents
• Allocates and housekeeping for Superintendents’ Offices and VIP rooms, including the following :

i. Arrangements for PCs and fax machines to be set-up in Superintendents’ offices

ii. Arrangements for the conversion of telephone lines to IDD as and when requested

iii. Provision of stationery, overalls, safety shoes etc. for Superintendents

iv. Arrangements for laundry services

• Assist Superintendents with flight ticket bookings and validations, visa extensions

2. Carrying out the following Administrative Tasks with the Assistance of the CRA :

• Updates weekly and distributes Superintendents’ List to Senior Managers, SRMs, Sales, CR and Marketing personnel
• Updates customers/Superintendents’ profile in Sembsap1 system
• Update hotel corporate rates
• Oversees the management of canteen e.g. food service standard, cleanliness, housekeeping and price control
• Checks invoices and canteen bills
• Carries out costing for promotional items and VIP room dining
• Responsible for procurement and stock control of corporate gifts, souvenir and promotional items
• Recording of all bookings/orders for hotels, transport, etc

3. Coordinating the Arrangements of Customers’ Functions/Events e.g.

• ASMI Dinners
• Christmas and New Year Parties (Gifts, cards, lunches, decorations)
• Superintendents’ birthday arrangements (Cards)

4. Cultivate Relationships with customers

• Morning and afternoon rounds to Superintendent’ offices to monitor customer feedback
• Attendance at lunches dinners, Sundowners and other functions
• Manages hospitality programmes for in-house Superintendents e.g. :

i. Bookings of restaurants for Superintendent and PMs

ii. Arrangements for VIP lunches and dinners for the Shipyard. Organising of recreational activities

e.g. Sports and games for ship officers and crew

5. Ensure that customers’ complaints / feedback is channelled to relevant departments for action

6. Ensure the safety of personnel through compliance with Occupational Safety and Health and Environment Regulations

7. Ensure the Health, Safety and Environment operating procedures are followed and counsel employees about compliance as necessary

8. Participate in the preparation of Safe work, Environmental control and Emergency procedures

9. Ensure that all Health, Safety, Environmental & Quality (HSEQ) plans are followed

10. Any other associated tasks and responsibilities assigned from time to time

Job Requirements

General Overview

This position reports to Supervisor (Marine Operations) and assisting him/her in ensuring safe, reliable and efficient ship-shore operations, inclusive of interfaces activities for JTJ, STS & FSRU and FSU services.

The incumbent will oversee the maintenance of marine equipment, monitoring the contractors appointed for marine activities and screen LNG ship for SLNG’s acceptance prior to ship arrival.

The incumbent shall also undertake the Loading Master function as required.

Roles and ResponsibilIties

The incumbent shall be responsible for, but not limited to the following responsibilities:

• Responsible in preparing vessels berthing schedule & plans and communicate with all interested parties involved for ship-shore operations.
• Act as Loading Master (Terminal representative onboard vessels), and responsible for ensuring safe berthing and smooth cargo transfer operations.
• Ensure documents between ship-shore including LNG surveyor’s reports are accurate and consistent as per the procedures.
• Be part of the terminal’s emergency response member as dictated by Terminal’s Emergency Response Plan.
• Assist in ensuring maintenances for marine equipment are completed in timely manner.
• Assist in review maintenance and service contracts, and they were executed safely and diligently.
• Complete the compatibility and acceptance review of all prospective vessels as per SLNG’s procedures / checklist.
• Track and replenish consumable items for jetty operations.
• Prepare routine updates, reports and statistics of ship-shore operations.
• Comply to document control process for the marine operations.
• Track vessels and customers feedbacks, complaints, letter of protest. Support in closure actions as necessary.
• Take an active role in HSSE activities, capability development, productivity and efficiency objectives.
• Take on additional tasks as directed by Supervisor.

Work experience / Knowledge

• At least 2 years working experience on tanker vessels as an Officer involves in navigations, maintenance and cargo operations
• Candidate who has previously worked on similar role in Oil and Gas Terminals, Shipping and/or Marine Industry with 5 years working experience can be considered.
• Knowledge on ship shore interface, effective mooring, LNG transfer, cargo documentations and safe practices in Marine, Oil & Gas industries.

Education / Qualification

Supervision of Residents’ Psychosocial Needs

• To provide supervision and care to the residents. The GO is to actively promote the involvement of all residents in the Home’s social group, counter the isolation of individuals by others, nurture friendships between residents, and support those residents who for any reason do not readily “fit in” to the social group.
• To guide and develop socially acceptable behaviour in residents, in a manner that does not infringe on their rights or the rights of others, and which is consistent with sound behaviour management principles.
• To support the residents’ adherence to the Unit’s behaviour management system. This system gives clarity to the rules and requirements of the Home and sets clear expectations on how residents should relate to one another.
• To manage residents’ behavioural issues using a trauma-informed approach.
• To provide guidance for residents in supporting their growth and development and motivate/mentor the residents.
• To provide support for the positive social and emotional development of the residents.

Health and Hygiene

• To ensure the proper maintenance and cleanliness of the Home’s premises and the unit’s dormitory.
• To educate and reinforce acceptable personal hygiene standards to youth and children.
• To oversee the medical and health needs of the residents in the unit.

Academic and Cognitive Needs

• To oversee the academic needs of the residents in the unit.

Crisis Management

• To provide on-site incident or crisis management when necessary

Supervision Outside of Melrose Home

• To escort and supervise youths and children to and from the clinic, the hospital, the school or to attend programmes and activities outside the Home.

Integrated Care Plans

• In consultation with the Caseworker, to support the Residents’ integrated care plans through the programmes delivered in the unit or through day to day tasks/activities

Undertake any other duties directed by Unit Leader and / or Manager, RC

Note: The residential home setting is a 24/7 facility. Guidance Officers are rostered to work shifts (sometimes 7am to 4pm, mostly 1pm to 10pm; 5 days a week with 2 rotational off days).

General Purpose

Key objective of this role is to execute the last mile deliveries. The role will ensure that our last mile service operates effectively to deliver the company’s value proposition at target OTIF levels.

The role is based in the respective regions and reports to the Delivery Operations Manager.

Main Job Tasks and Responsibilities

• Facilitate the delivery process flow from Customer Service enquiry through to final delivery on-board customer vessel, liaising with Customer Service and delivery logistics service providers (LSPs) as required;
• Monitor stock levels with warehouse operators and LSPs. Work closely with the Distribution Planners and Production Planners to ensure stock inventories are maintained at agreed levels (MSLs);
• Co-ordinate with shipping agents and check with Port Authorities for arrival notice of vessels and arrange timely supply to the vessels. Coordinate vessel and truck movements as needed by communicating with agents and customers;
• Maintain vessel schedules to ensure timely lubricant deliveries via barge and truck;
• Ensure that all orders given to Contracted Barges and other 3rd party delivery agents are acknowledged, and all orders are executed timely;
• Ensure that Delivery Receipts are prepared according to Customer PO before they are issued to Contracted Barges and other 3rd Party Delivery Contractor’s to initiate supply;
• Ensure all orders are delivered to customers’ vessels per our value proposition and industry leading OTIF metrics;
• Ensure that for the physical flow of product is correctly mapped on the ERP and delivery information system;
• Reconcile physical balances at the barges and warehouses where applicable every month;To participate in any ad-hoc projects/tasks as assigned.
• Aware of and participate in maintaining and improving organization quality and environmental management systems and processes and the prescribed compliance obligations.
• Understand organization significant environmental aspects and related actual or potential environmental impacts associated with their works.

Education and Experience

• Degree in Maritime Studies, Supply Chain, Logistics, Operations Management, Business or related discipline;
• Minimum 3 years of working experience in marine supply, logistics and operations scheduling, preferably in a multinational environment;
• Experience in cost analysis and logistics optimization, and familiar in using continuous improvement methodologies.

• Demonstrated track record in meeting prompt/difficult delivery requirements, with a passion for ensuring customer needs are fully met (Customer Focused Mindset);
• Possess an innovative and can-do attitude to continue to evolve operations and meet our ambitious growth agenda;
• Excellent interpersonal skills and demonstrated ability to work as a team member in a fast-paced environment;
• Good contract management skills – experience in contract negotiations with logistic service providers would be highly regarded;
• Ability to develop intimate knowledge of the customers' business and behaviors (including expectations, buying patterns, etc.);
• Sound IT knowledge and ability to appreciate large sets of data for the purpose of analysis;
• Fluent English speaker – other regional specific languages would be highly regarded.

REQUIREMENTS

• Must have gained some good experience, preferably, working within the interior furnishings industry or related field e.g. luxury consumer goods and have an understanding of both the commercial and residential markets.

• Must have a passion for design and selling at the luxury end of the market

• Must have excellent presentation skills and are able to communicate effectively at all levels.

• Must be particularly good at building good, long lasting client relationships.
