Job Description
As an Accounting and Administrative Secretary, you will be responsible for ensuring the smooth performance of daily Embassy operations and implementing efficient administrative procedures to ensure the optimal functioning of the Embassy. Your key responsibilities will include, but are not limited to, the following:
● Handle the full spectrum of Embassy administration duties, procurement of Embassy supplies and equipment
● Ensure all payments (i.e. payroll, leases, utilities, telecom, restaurant tickets, other suppliers, etc.) are approved and done on time
● Petty cash and expense management, handling staff’s claims
● Journal entries and bookkeeping in the financial system of the Embassy, and file management
● Month, Quarter and Year - End financial closing and reporting
● Monitoring cash flow, managing annual budget and variances
● Bank reconciliations
● Responsible for managing HR matters (processing monthly payroll, calculating and paying CPF contributions, holiday control, etc.)
● Liaising with MOM on new applications and renewal of Work Passes
● Liaising with IRAS for input GST claims
● Liaising with other 3rdparties, i.e. banks, insurance companies, building administration, providers, etc.
● Other ad-hoc duties
Requirements & Skill Sets
● At least 1-2 years of experience in general administration and accounting
● Prior experience in the public sector administrative role is an advantage
● Organised and meticulous, with attention to details
● Able to multi-task and comfortable dealing with numbers
● Self-driven, resourceful and able to make things happen
● Proficiency level in Spanish and English
● Able to start working immediately.
