Our School

The German European School Singapore (GESS) is a multi-lingual, not-for-profit, German international school in Singapore with a distinct European flavour. As an accredited ‘Excellent German School Abroad’, the German Section of GESS offers all major German school leaving certificates.

Our European Section offers tuition in English for students from grade 1 - 12 across all three IB programmes (the PYP, the MYP and the IB Diploma Programme) as an authorised IB World School.

Children aged 2 years onwards can enroll in our Preschool where children are following the PYP programme in German-speaking, English-speaking or bilingual groups. Hype Media Pte. Ltd., a prominent large format printing company, is actively seeking a Part-time Administrative Assistant to manage payroll, handle government permit submissions, oversee petty cash management, and facilitate the issuance of Delivery Orders (DO) and Purchase Orders (PO). This presents an excellent opportunity for individuals who may not have prior administrative experience, as comprehensive on-the-job training will be provided. The successful candidate will play a pivotal role in ensuring the seamless operational and financial aspects of our office.

Responsibilities:

1. Payroll Management:Execute and oversee employee payroll, ensuring precision and timeliness.
   Maintain accurate records of employee working hours, overtime, and leave.
   
2. Government Permit Submissions:Prepare and submit various government permits as required.
   Stay abreast of regulatory requirements and ensure strict compliance.
   
3. Petty Cash Handling:Efficiently manage and reconcile petty cash transactions.
   Maintain meticulous records and receipts for petty cash expenses.
   
4. Delivery Orders (DO) and Purchase Orders (PO):Issue and process Delivery Orders for completed projects.
   Generate and manage Purchase Orders for necessary supplies and services.
   
5. General Administrative Tasks:Undertake general administrative duties as outlined in the previous job description.
   Assist with scheduling, communication, and data entry tasks.

Roles & Responsibilities:

· Update supplier's invoices into accounting system after matching with Delivery order/Service report/Vehicle Log Book, Purchase Requisition (if applicable).

· Prepare payment list for approval

· Reconciliation of supplier's statement

· Issuance of fulfilment invoice

· Handling COD collection and COD payout

· Investigation and document cash card transactions, and perform cash card top up

· Following up customer payments

· Record and process all business transactions in the accounting system using double-entry accounting

· Perform other ad-hoc duties as required.

Requirements:

• Minimum Diploma in Finance/Accounting
• Must be proficient in Microsoft Excel and Microsoft Word
• Must be able to work independently and within stipulated deadlines.
• Meticulous, self-motivated, responsible, proactive and able to work as team.
• Able to start work immediately or short notice.
• Able to work on Alternate Saturdays (WFH), weekdays work in office
• Comfortable to work in West Coast/Clementi/Jurong East Area
