Job Summary:As an Administrative Assistant, you will play a crucial role in providing administrative support to ensure efficient office operations. You will be responsible for a variety of tasks, ranging from managing office correspondence and scheduling appointments to handling day-to-day clerical duties. The ideal candidate should possess excellent organizational and communication skills, be detail-oriented, and demonstrate the ability to multitask effectively.

Key Responsibilities:

1. Office Management:Greet and assist visitors, ensuring a professional and welcoming atmosphere.
   Answer and direct phone calls to the appropriate personnel.
   Maintain office supplies and initiate orders as necessary.
   
2. Administrative Support:Assist in the preparation and formatting of documents, reports, and presentations.
   Manage and organize office files and documents.
   Handle incoming and outgoing correspondence, including emails and letters.
   
3. Scheduling and Coordination:Schedule appointments, meetings, and conference calls for executives and team members.
   Coordinate travel arrangements, including booking flights, hotels, and transportation.
   
4. Data Entry and Record Keeping:Accurately enter and update information in databases and spreadsheets.
   Maintain confidential records and ensure data integrity.
   
5. Communication:Act as a liaison between internal departments and external parties.
   Draft and edit communications, memos, and other written materials.
   
6. Event Planning:Assist in the planning and execution of office events, meetings, and conferences.
   
7. Problem Solving:Identify and address administrative issues promptly and effectively.
   Collaborate with team members to find solutions to challenges.
   

Job Description:

• Assist to provide pre-sales technical support, assist in product/system architecture proposal
• Provide professional presentation and consultation on the company’s products and services for existing and new customers.
• Assist in Research and support the communication process with prospects.
• Capable of Clearly articulating technical capabilities and give technical demonstrations.
• Assist to define and contact new prospects. Manage existing customer accounts, and at the same time, seek and develop new customer accounts.
• Build rapport and establish long-term relationships with customers
• Assist to establish business and industry contacts and cultivate relationships to identify new business and revenue opportunities.
• Able to build strong and strategic partnerships at all levels of prospects and clients as well as develop future businesses

Requirements:

• Min1-3 years of experience in an IT or Physical Security System with good communication and interpersonal skills
• Diploma in IT or Engineering technology solution will be an advantage

Job Responsibilities

• To understand and communicate project development requirements across all stakeholders and deliver project
• To assist Project Manager to drive projects and optimize customer journey and to be in line with project timeline
• To ensure project delivered is tested and good to go live with no bugs
• To ensure timely, effective follow-ups on Project timelines with all key project stakeholders
• To assist administrative tasks which include User Requirements Document, Functional Specification, Test Cases, User Journey Design and other requested documentation
• To assist Business Analysts in research, understanding requirements, product creation and functional specification

Competencies to Learn

- Candidate will be supporting Project Manager for end to end from Project planning, development, testing, delivery and support

- Candidate will gain experience managing internal and external stakeholders

- Candidate will also be required to assist in reporting and project documentation preparation

- Candidate will have exposure to the following functional areas:

• Candidate will gain understanding from Project Manager scope which include functional skills such as planning, developing, coordinating and producing end delivery in a timely manner
• Candidate will learn key area about User Journey and how to make application user friendly
• Candidate will be required to involve in all production deployments
• Candidate will be required to assist Project Manager for application support
• On-the-Job Training will be provided

Job Requirements:

• Possess at least a Diploma or equivalent in Computer Science, Information Technology, Business Informatics
• Proficient in Microsoft Office applications (Word, PowerPoint, Excel and etc.)
• Strong written and oral communication skills
• Analytical and resourceful
• Effective communication skill
• Planning and organization skill
• Project management experience will be an added advantage

• Salary: $1,800.00 - $3,000.00 per month

Job Skill Requirements

• Familiar with GST reporting requirement.
• Proficient in Accounting Software (Preferably SAP B1), and MS Office.
• Meticulous, team player, self-motivated with good interpersonal and communication skills.

Responsibilities

• Month-end closing – Ensure smooth month end closing within tight deadline.
• Reporting – Compile reporting package within tight deadline for reporting to HQ.
• Handle full spectrum of Accounts Receivable and Accounts Payable (PTP Process).
• Perform billing according to agreement terms and services provided.
• Maintain proper filing system.
• Liaising with customers and suppliers to resolve billing issues.
• Liaising with and supporting other departments (warehouse, operations).
• Prepare monthly/year-end schedules.
• Liaising with auditors for year-end financial audit.
• Improve and innovate on existing work processes.
• Perform other ad-hoc assignments and projects as assigned.
