· Any adhoc task as and when assigned by your direct supervisor or the Management.

This is a crticial position which needs to be filled out urgently. Candidates who are able to start work immediately will be an added advantage.

• Handle calls, walk-in enquiries, delivery, school mails, parcels dispatch.
• Attending to pupils who are unwell in the General Office (GO) and ensuring that the school’s early dismissal procedure is adhered.
• Coordinate with Teacher in charge to update weekly school activities in the GO
• Pack and prepare materials to be distributed to all classes
• Compilation of simple information and statistics using MS Office
• Filing and distribution of school correspondences and materials
• Provide administrative support during major school events e.g P1 orientation etc
• Any other duties as assigned by School

Qualification

• At least an GCE ‘O’ Level (or equivalent)
• Preferably well conversant in both English and Mandarin
• At least 3 years of experience providing admin support
• Proficient in MS Office
• Basic First Aid knowledge
• Good communication and inter-personal skills
• Good team player with high level of initiative
• Good customer service skills
• High level of initiative and able to work independently
• Mature individual with a pleasant disposition

The Administrative Assistant, Ministry Support provides administrative support to the assigned Ministerial staff in carrying out the operational responsibilities of the Church and reports to the Church Administrator. The person in this position uses initiative and discretion in interaction with staff, congregants and visitors. Because of the nature of the role, this individual must demonstrate a high level of trust and the ability to protect the reputation and integrity of others through strict confidentiality.

Responsibilities

Ministry Support

Provide administrative support to ensure efficient operation of assigned ministry including scheduling and coordinating ministry meetings, preparing and mailing correspondence, handling ministry posts and incoming letters, preparing ministry reports, presentations, etc.

Other assigned support:

o Prepare ministry newsletters and mass mailing.

o Raise Payment Request (PR) and seek relevant approval for ministry expenses.

o Manage ministry database including updating of participants’ contacts.

o Provide logistical support including study materials to be distributed to participants.

o Coordinate ministry events, pre-event publicity, registration and compile post-event feedback evaluation.

o Assist with ministry outreach programs

Office/Clerical Support

· Assist with screening and routing of incoming calls and visitors to the Church office; warmly greeting persons with a friendly, courteous and helpful attitude; providing pertinent and appropriate information to callers and/or visitors.

· Monitor and maintain office supplies.

· Attend ministry events as necessary.

· Attend Administrative Staff and Senior Staff meetings as required.

· Other duties as assigned or called upon to assist including

o providing clerical, administrative or communication support to other ministries where required.
