Your day to day

voco Orchard Singapore is seeking a personable and details oriented Catering Sales Executive to be part of our team. As the Catering Sales Executive, you will responsible for driving business through direct sales solicitation for the assigned segment sand support overall catering and events revenue for the hotel.

• Work closely with Banquet and other departments to facilitate services agreed upon and to ensure the overall success of the event
• Promote teamwork and quality service through communication and coordination with other departments
• Coordinate details with other departments such as VIP amenities, special requests, or other service needs or special handling.
• Ensure active management of personal development plan
• Manage events functions to achieve the optimum departmental revenue targets
• Follow up on potential sales leads within the designated time frame
• Contribute to the design of meeting packages to maximise the conversions and profitability for the hotel.
• Negotiate and review events packages offered to clients
• Represent the hotel in trade shows and events as required
• Prepare contracts for confirmed events & social events
• Be up to date with current meeting & events trends and competitive packages in the market
• Confident and professional approach when dealing with clients and wedding suppliers
• Resolve requests and/or complaints to the satisfaction of the guest; inform supervisor of major problems, complaints, disturbances or dissatisfied clients.
• Proficient in the application of all Sales tool and systems; maintenance and management of database, support with departmental reports
• Promote guest satisfaction and encourage referrals
• Handle feedback and resolve complaints from guests
• Maintain client files and update information daily in accordance with established departmental policies and procedures.
• Follow up with clients regularly during and after departure to ensure satisfaction
• Raise the awareness and reputation of your hotel and the brand locally
• Ensure guest safety is a priority with minimal interruptions or problems
• Offer advice to clients to reduce waste, save energy and have a minimal impact to the environment

What we need from you

• Diploma/Degree in Business or Hospitality management or related disciplines
• Minimum 2-3 years’ working experience, ideally within the Hospitality Industry
• Good communication skills and shows initiative
• Committed to working on weekends, public holidays and evenings
• Proficient in Microsoft Office applications
• Flexible work approach

Working hours 8.30am to 5.30pm / 9.00am to 6.00pm (Mondays to Fridays)

As an Executive, you will be the point of contact between customers and X-press Feeders. You will need to ensure reconciliation statements and invoices are sent to customers and be able to handle and resolve disputes.

Role and Responsibilities:

• To fully understand the structure of each deal & items stating in the checklist prior preparing the reconciliation template;
• Close follow up with Line Manager to ensure checklist is drawn up for each agreement prior the deal commences, making sure the checklist is updated whenever there’s changes to the deal;
• Setup contract details in system together with billing instructions to facilitate correct invoicing to customers;
• Update customers on the monthly slot charges with bunker update & ensure correct fixed slot invoices issued promptly to customers;
• Extraction of customers loading information – to scrutinize the report & probe agents for clarification on any data discrepancies, also follow up to ensure system gets updated with correct records;
• Submit reconciliation statement to customers on their slot usage against their slot commitment, it has to be drawn up accurately & submit within stipulated timeframe;
• Follow up with customer for the statement confirmation & ensure accurate & timely issuance of invoices;
• Handle queries raised by customers & resolve the disputes independently.

Requirements

• dip / degree in maritime studies / Logistics Supply Chain / Business / some billing experiences welcome
