Key Responsibilities

Accounting Duties

•⁠ ⁠Manage accounts payable (AP) and accounts receivable (AR), including processing invoices, payments, and tracking outstanding balances.

•⁠ ⁠Reconcile financial statements, including bank statements, to ensure accuracy and resolve discrepancies.

•⁠ ⁠Prepare and issue invoices to customers for products or services rendered.

•⁠ ⁠Monitor and follow up on overdue payments to ensure timely collections.

•⁠ ⁠Submit tax filings such as GST returns and ensure compliance with local tax regulations.

•⁠ ⁠Maintain updated financial records in accounting software and spreadsheets.

•⁠ ⁠Assist in preparing monthly financial reports, budgets, and cash flow statements.

Administrative Duties

•⁠ ⁠Oversee general office administration, including procurement of office supplies and maintaining office equipment.

•⁠ ⁠Maintain accurate filing systems for financial and administrative documents.

•⁠ ⁠Coordinate with external vendors for services such as IT support or maintenance.

•⁠ ⁠Provide support to management by preparing reports, scheduling meetings, and handling correspondence.

Order Taking & Service Coordination

•⁠ ⁠Assist in processing customer orders accurately and efficiently.

•⁠ ⁠Coordinate service schedules to ensure timely delivery or execution of services.

•⁠ ⁠Act as a liaison between customers and the operations team to address service-related issues.

•⁠ ⁠Maintain clear communication with customers regarding order status or changes.

Invoicing Support

•⁠ ⁠Prepare, send, and store invoices for all transactions.

•⁠ ⁠Reconcile customer payments with bank statements to ensure accuracy.

•⁠ ⁠Track outstanding payments and follow up with clients when necessary.

General Support

•⁠ ⁠Provide backup support for other administrative staff during their absence by managing their tasks effectively.

•⁠ ⁠Respond to internal and external inquiries related to accounting, administrative matters, or customer orders.

Skills & Qualifications

•⁠ ⁠Proven experience in an Accounts/Admin role or similar position.

•⁠ ⁠Strong knowledge of bookkeeping procedures and accounting software (Xero).

•⁠ ⁠Advanced proficiency in Excel (e.g., financial formulas, creating spreadsheets).

•⁠ ⁠Excellent organizational skills with strong attention to detail.

•⁠ ⁠Ability to identify numerical errors and resolve discrepancies efficiently.

•⁠ ⁠Strong communication skills for liaising with clients, vendors, and internal teams.

Preferred Qualifications

•⁠ ⁠Bachelor’s degree in Accounting, Finance, or a related field is advantageous but not mandatory if relevant experience is demonstrated.

•⁠ ⁠Familiarity with Singapore’s tax regulations (e.g., GST compliance).

•⁠ ⁠Experience in service coordination or customer order management is a plus.

Duties and responsibilities of the job

• Process accounts payable invoices matching and verifying with purchase orders, delivery Orders/goods receipts via Esker procurement system

• Ensure accounts payable invoices, petty cash and staff expenses claims are accurate and properly coded via Prosoft.

• Ensure GST recognition is incompliance with IRAS e-Tax Guide.

• Generates electronics (online) payments to vendors, ensure cheques are authorized and in line with Group Policy and processes.

• Verify vendor creation forms with necessary documents required for New Vendor creation in ERP system according to Group Policy.

• Prepare and update vendors’ reconciliation on a monthly basis.

• Handling and resolving internal and external vendors’ inquiries and issues.

• Clear and reconcile unallocated payments in ERP systems promptly.

• Ensures completeness of balance sheet schedule on a monthly basis including reconciliation of payments, monitor accounts to ensure payments are up to date.

• Assist in AP month end closing and annual audit schedule (AP related).

• Other ad-hoc duties as required and/or assigned.

Skill Required

Education and Experience

• LCCI/ CAT/ ITE in Accountancy.

Summary of Responsibilities:

ACCOUNT PAYABLE DUTIES

• Ensure all invoices are checked for accuracy and properly approved by various personnel. When making payment, ensure that all documents are properly perforated.
• Accurately coding of the GL accounts.
• File statements and invoices alphabetically and reconcile accounts as soon as statements arrive.

REVENUE AUDIT - ROOMS, FOOD AND BEVERAGE DUTIES

• Balancing Rooms, Spa, Banquet, Food & Beverage daily sales summary submitted by the Operation team.
• Ensure all the credit cards, cash, direct billing, city ledger, gift card, room charges are balanced according to the Cashier Summary for all revenue centers.
• Auditing of Banquet Event Order for completeness and accuracy of Banquet revenue posting.
• Prepare daily Staff & Promotions summary.

Responsibilities

·       Responsible for Accounts Payable activities in Singapore and Japan.

·       Processing of vendor invoices in high volume.

Sales Administration / Support

• Process Customers’ Purchase Orders by raising Customer Order Processing (COP) forms and performing stock reservations.
• To raise and issue purchase requisition of equipment, spare parts, and accessories required for projects and ad-hoc orders and submit for approval.
• Correspond with customers, manufacturers, vendors and suppliers via email/phone for shipment status.
• Responsible for expediting the receivables and deliverables of ordered goods and identifying ordered equipment to prepare material take-off schedule for orders.
• Coordinate, liaise, and work with the Warehouse and Logistics Department to ensure that goods are packed and delivered on time to customers.
• Attend to customer inquiries (via phone/email) for prices and stock positions or customer complaints (e.g., invoice disputes) and ensure necessary actions are taken and followed through.
• Assist Sales Manager(s) / Assistant Sales Manager(s) in drafting proposals and quotations to customers.
• Assist Sales Manager(s) / Assistant Sales Manager(s) collating multiple variations for projects for price negotiation with customer(s).
• Ensure that all filings are in order.
• Perform other ad-hoc duties as assigned by the Head of Sales / Sales Manager(s) / Assistant Sales Manager(s).

Marketing Communication

• Assist Sales Manager(s) / Assistant Sales Manager(s) in organising and/or coordinating events e.g. Trade exhibitions, road shows, new product seminars, etc
• Assist Sales Manager(s) / Assistant Sales Manager(s) in organising and/or coordinating internal events, eg. Dealer meetings.
• Prepare and organise marketing collaterals.
• In charge of maintaining and ensuring the Company’s website content is current and up to date.
• Assist Sales Manager(s) / Assistant Sales Manager(s) to liaise with partners of trade magazines and media agencies.

Requirements:

• Proficient in Microsoft Office applications (Excel, Word, Outlook and PowerPoint).
• Experienced in ERP, preferably NetSuite, will be advantageous.
• Navigation communication product knowledge preferred.
