Responsibilities

• Manage Executive’s calendars, including scheduling appointment, meetings, and conference calls, and coordinating travel arrangements.
• Screen and prioritize incoming calls, emails and correspondence, responding to or redirecting inquiries as appropriate.
• Prepare and edit correspondence, presentations, reports, and other documents for Executives, ensuring accuracy and professionalism.
• Coordinate and prepare materials for meetings, including agendas, presentations, and supporting documentation.
• Attend meetings with Executives as needed, take meeting minutes, and follow up on action items.

Job Requirement:

• Bachelor’s degree in Business Administration, Communications or related field preferred.
• Min 3 years of experience as an Executive Assistant or similar role, supporting Senior-Level Executive in a corporate environment.
• Strong organization and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
• Excellent communication skills, both written and verbal, with the ability to interact effectively with Executives, colleagues and external stakeholders.
• Proficiency in Microsoft office Suite (Word, Excel, PowerPoint, Outlook) and experience with calendar management and scheduling software.
• Attention to details and high level of accuracy in preparing and proofreading documents and correspondence.

Objective:

As a member of the finance team, this role will assist to ensure timely AP and AR activities, as well as other activities to ensure smooth operations.

Responsibilities:

Accounts Payable (AP)

• Be the key person to manage issues and queries of payables between outsourced service provider and internal stakeholders
• Check payments generated by outsourced service provider before submission for approval
• Monitor and ensure accuracy of cash inflow/outflow records
• Reconciliation of Vendor statement
• Prepare monthly AP reports

Accounts Receivable (AR)

• Ensure Accounts Receivable collections are received on time and recorded accurately
• Liaise with outsourced service provider on receipts processing and to resolve any discrepancies
• Prepare monthly AR reports
• Assist with month end closing
• Any other ad hoc duties as assigned

Requirements:

• Minimum GCE “O” level or equivalent
• Minimum 5 years of relevant experience in Accounts Payable and Accounts Receivable
• Proficient in Microsoft Office, SAP experience would be an advantage
