Job Responsibilities:

Administrative Tasks

• Assist all departments with issuing Purchase Requisitions (PR), Delivery Orders (DO), and Invoices.
• Conduct stock inventory and record stock levels.
• Manage meeting room setup and hospitality, including serving drinks, tidying the room, turning off air conditioning and lights, and cleaning up after meetings.
• Stay after hours if meetings extend beyond 6 p.m. to ensure the meeting room is properly cleared.
• Prepare and process Purchase Requisitions (PRs).
• Organize courier shipments, including letters and documents.

Finance Tasks

• File and print financial and administrative documents.
• Scan documents for upload to the server.
• Input staff claims into Autocount system.
• Update records of customer payments.
• Record payments made to suppliers.
• Compile and prepare sales reports for all departments.
• Issue daily sales invoices and Delivery Orders (DOs) for all departments.
• Maintain the PR/PO register in Excel.

Job Requirements:

• LCCI certification or equivalent in Accounting/Finance.
• 1-3 years of experience in administrative and accounting roles, preferably in a similar position.
• Proficiency in Autocount accounting software is required.
• Strong knowledge of Microsoft Office
• Familiarity with accounting principles and financial documentation (PR/PO, Invoices, etc.).
• Excellent attention to detail and organizational skills for managing both administrative and financial tasks efficiently.

HR Duties

Assist HR Manager to overseeing HR/Admin functions for all employees

1. RECRUITMENT

· Ensuring that the company’s hiring process and documentation are compliant with the Fair Consideration Framework and all other requirements / guidelines / advisories by the Singapore government / Ministry of Manpower.

· Responsible for sourcing of candidates by means including but not limited to the Job Bank, online recruitment portals, Staff referral Scheme and recruitment agencies.

· Conducting pre-interview screening of job applicants and forwarding shortlisted applications to recruiting managers

· Arranging for pre-employment medical examinations for selected candidates

· Liaising with selected candidates to explain proposed terms of employment and staff benefits and to finalize employment of selected candidates.

2. WORK PASS ADMINISTRATION INCLUDING EMPLOYMENT PASSES

· To handle administration work in relation to work passes including but not limited to the application, cancellation and renewing of work passes.

3. HANDLE STAFF ENQUIRIES AND DISCIPLINARY ACTIONS

· Ensuring that HR policies and procedures are communicated to staff and responding to internal enquiries relating to the same.

· Assisting in the administration of the company’s grievance reporting, investigation and disciplinary process.

4. STAFF RESIGNATION AND TERMINATION

· Processing and handling staff resignation and termination in accordance with company policy and procedure.

· Conducting admin for staff who have resigned /been terminated such as arranging for handover, calculating and arranging for last payment to staff and income tax payment (for foreigners).

5. TRAINING & DEVELOPMENT

· Responsible for staff training and development program

6. OFFICE ADMINISTRATION AND IT SUPPORT MATTERS

· Overseeing and provide support in office administration matters

· Assist in handling IT support matters such as email creation, online meeting bookings, hardware/software renewal matters.

7. OTHERS

· Develop and implement human resources strategies, plans, policies, processes and programs

· Draft documents such as letters and Inter Memos upon requests

REQUIREMENT (E.g. Qualifications, Certifications, Experience) :

Job Description

As a member of our Credit Bureau Operation Team, the candidate will be tasked to fulfil services and processes related to the credit bureau day-to-day operations. One of the main key responsibilities is data management activities directly related to bureau compliance and data contributing members, as well as overseeing daily data loading activities.

The candidate is required to maintain liaison with local clients and stakeholders on their updated business needs. This includes effective communication and coordination with internal and external parties.

In addition, the candidate will need to provide general administrative support and assists in project management for delivery of credit bureau services to clients from proposal/tender, requirements gathering, development, testing/certification, and deployment.
