The Senior/Executive Admin role (1-year contract) offers a challenging opportunity to grow and develop ESSEC Executive Education in the APAC region.

Key responsibility areas:

A) Preparation phase (Feb – Mar 2024):

- Set up SOP for the entire chain of admin and process requirements from learner enrolment, reporting to SG SkillsFuture (SSG) to claims, as per SSG audit and ESSEC requirements

- Set up required Training Management System (either using existing Moodle, or another appropriate platform, meeting SSG requirements)

- Work with ESSEC Finance Department colleagues to set up payment and credit note processes, meeting SSG audit and ESSEC requirements

B) Day-to-day responsibilities (From April 2024 onwards):

- Working with Executive Education broader team to confirm program activation and dates

- Participant enrolment/registration including but not restricted to collection of necessary participant’s documentation, payment billing oversight (Finance department), tracking of participation progress/assessment outcomes, and submiting all relevant outcomes to SSG Training Portal for claims approval

- Correct, accurate and timely filing and storage of all documentation in the Training Management System to meet SSG and ESSEC requirements

- Dealing with faculty and trainers to follow up on necessary documentation and training materials for the pre-, during and post-program phases

- Tracking of claims processes via the SSG Training Portal and to highlight/flag abnormalities and issues in a timely manner to assist with resolving them

- Regular reporting of performance of Institute for Continuing Education (ICE) using different metrics to be agreed with the Head of Executive Education and Senior Business Development Manager

- Oversee all other administrative and operational SSG-related matters in accordance with funding agencies and ESSEC requirements

- Assisting with SSG audits

- All other adhoc matters, if any, as assigned

Job Responsibilities

• Monitor executive day to day activities/events to team to ensure every required support & demand are delivered to all relevant parties (E.g.: internal and external customers). 
• To ensure the flow of the work go smoothly. 
• Identify and resolve related issue to maximize the efficiency in terms of time, resources as well as costs. 

Duties and Responsibilities

• Provide guidance to Accounts Receivable and Accounts Payable colleague.
• Review Accounts Receivable transactions.
• Review and approve staff claims.
• Prepare Inventory adjustment.
• Involve in yearly stock take exercise.
• Prepare month end journals.
• Prepare bank reconciliation.
• Prepare GST report.
• Prepare monthly management report.
• Handle inter-company transactions and reconciliation.
• Prepare monthly balance sheet schedule.
• Liaise with external auditor and handle audit queries .
• Ensure accurate and timely month end and year end closing and reporting

Responsibilities

• Handling full set of accounts for companies assigned including handling invoicing, purchasing, payables, receivables, receipts, payments and bank reconciliations in compliance and adherence with policies and procedures.
• Ensure transactions recorded into the accounting system timely and accurately.
• Ensure timely month-end closing and able to analyze and articulate monthly performance variances.
• Coordinate with China HQ to generate report as per requirement.
• Assist in preparation of annual budget, forecasts, and cash flow projection.
• Prepare GST filing, liaise with the external auditor and tax agent
• Any other ad hoc duties as assigned

Qualification

• Diploma / Bachelor's degree in accounting, finance, or professional qualification (e.g. ACCA, CA Singapore)
• Strong knowledge of basic accounting principles and financial processes
• Proficient in using accounting software and Microsoft Office Suite (e.g., Excel, Word,Powerpoint)
• Excellent attention to detail and accuracy in data entry and record-keeping
• Strong organizational and time management skills, with the ability to prioritize tasks effectively
• Bilingual proficiency in English and Mandarin is a preferred, enabling effective communication with counterparts in China and international partners.
• Strong interpersonal skills, with the ability to collaborate effectively with team members
• Experience in audit is an added advantage.

Responsibilities

• Lead a team of engineering supervisors and shift engineers to diagnose mechanical and electrical breakdowns, assessing the best course of action and conducting a root cause investigation to eliminate the likelihood of re- occurrence.
• Project lead for all installations, overhaul of equipment and plant, working with suppliers to ensure they deliver on time, on budget and with minimum disruption
• Lead the implementation of a factory wide PM system using the current Process Control System, and ensuring PM activity is carried out during factory downtime at the correct frequency to an agreed standard.
• Effective manage an Engineering team including performance management, training and development
• Ensure that all projects are engineered to scope, budget and relevant standard and regulatory compliance.
• Fulfilling a key role within part of the site management team, being fully accountable and reporting on assets and ancillary plant downtime across site.
• Lead all on site preventative maintenance activities.
• Budgetary management/control, responsibility for the day to day management of the site repair and maintenance budgets
• Implement safe systems work and managing 3rd party site engineering works, liaising with the operations team to ensure that plant critical repairs minimize plant disruption or managed out of hours.
• Upholding GMP engineering standards across site, 3rd party technical customer audits & statutory inspections are passed any non-conformances are closed out with root cause analysis to avoid repeat failure.
• Continuous improvement of engineering ways of working to ensure improved equipment performance. A six sigma qualification would be desirable but not essential however knowledge of continuous tools and techniques is essential
• Lead the implementation of autonomous maintenance deployment process across the site.
• Responsible for maintaining and improvement of all engineering assets and developing an asset care strategy
• Setup an effective Engineering planning function, leading the development of Job Libraries and codifying repair

Requirements

• Degree in Mechanical or Electrical Engineering
• Minimum 5 year's management experience in engineering, project and maintenance management within food manufacturing industry.
• Demonstrates understanding of project management and engineering from a technical and operational point of view
• Strong analytical, problem-solving and decision-making skills
• Excellent planning, organizational skills and sense of urgency
• Background of hands-on experiences from new line installation project and/or focus improvement project will be advantageous
