Job Description Account Assistant (AR)

• Handle accounts receivables to ensure timely billings and collection from customers.
• Data entry of all invoices/receipts into system
• Prepare Statement of Accounts (SOA) upon customer request.
• Work closely with project team to ensure monthly invoices and documents are submitted timely to Finance.
• Prepare monthly accounting schedules and reconcile general ledger.
• Prepare monthly bank reconciliation.
• Assist to follow up with clients/intercompany on outstanding invoices
• Record and apply incoming payments accurately into system
• Reconcile payment with invoices and resolve discrepancies
• Any ad hoc assignment that may assigned from finance manager/management from time to time.

We are looking for a detail-oriented and highly organized Accounts Executive to join our dynamic finance team. The ideal candidate will be responsible for maintaining and reconciling all financial transactions, ensuring accuracy and compliance with relevant laws and regulations. Key Responsibilities:

* Generate and send out invoices to clients promptly. Ensure invoices are accurate, complete, and in accordance with project contracts and terms included intercompany billing.

* Monitor and follow up on outstanding invoices to ensure timely payment. Resolving issues or discrepancies on the invoices and liaise with lawyers or debt collectors. Process incoming payments and record them accurately in the ERP system.

* Verify purchase invoices in the system.

* Execute period-end closing procedures, including bank reconciliation, and prepare monthly management accounts.

* Ensure compliance with GST regulations; prepare and submit quarterly GST reports.

* Continuously review and propose enhancements to internal processes for increased efficiency.

* Undertake any ad-hoc duties or projects as assigned.

Requirements:

* A minimum of a Diploma in Accountancy or equivalent qualification.

* At least 3-5 years of experience in accounts receivable, preferably within the construction industry.

* Strong knowledge of accounting principles and accounts receivable processes.

* Proficiency in ERP systems (experience with Globe3 is a plus).

* Excellent communication and interpersonal skills.

* Strong organizational skills with attention to detail.

* Ability to work independently and as part of a team.

* Proficiency in Microsoft Office Suite, particularly Excel

Salary Range: $2800 - $3600

Responsibilities:

• Handle invoice billings and SOA to clients.
• Updates daily collection.
• Follow-up on payment collections.
• Prepare month and closing (P&L, BS, data entry, journals, Bank reconciliations, GL).
• Prepare Quarterly management report (P&L, BS).
• GST Filling
• Liaising with external auditor, corporate secretary and tax agent.
• To follow-up with main contractors and sales team on issues relating to project progress claims with the aim of obtaining adequate information for QS to make timely decision on claim outcome.
• Check Payments Certificates from clients against the progress claim submitted.
• Manage and respond to email enquiries raised by clients in a timely manner.
• Keep track of agreed timelines/ milestones and ensure that these are properly met.
• Other ad-hoc admin jobs assigned by the Managements.

Qualifications:

• Minimum Bachelor’s Degree in Accounting or relevant qualification
• Minimum of 5 years’ experience in a similar position
• Capable of multitasking and meeting tight deadlines
• Excellent interpersonal and communication abilities
• A team player who is also able to work independently and is well-organized
• Keen attention to detail, a curious mindset, and a flexible approach

Job Responsibilities:

• Generate and issue customer invoices accurately and in a timely manner
• Monitor accounts receivable aging and follow up on overdue accounts, communicate with customers regarding outstanding balances
