Job Description:

1.⁠ ⁠Accounts Receivables

• Oversee and manage the accounts receivables process to ensure timely and accurate collection of outstanding invoice
• Downloading of sales transactions from various online sales platforms and allocating revenue based on product.
• Maintain thorough records of transactions to support accurate financial reporting and forecasting.

2. Accounts Payables

• Perform invoice verification with internal stakeholders to verify accuracy of invoice
• Processing the AP invoice in accounting software
• Generate weekly payment list for payment processing

3.⁠ ⁠⁠Weekly Sales Report / Monthly Sales Report

• Compile and analyze sales data on a weekly and monthly basis to generate detailed sales reports.
• Updating of sales figures in accordance to sale channels and products
• Ensure timely distribution of reports to relevant stakeholders.

4.⁠ Inventory Management Support:

• Assist in conducting comprehensive stock takes at various retail locations and warehouses
• Ensure accurate inventory counts, reconcile discrepancies, and provide detailed reports on stock levels.

● Application Processing: Oversee the initial stages of the application process, including
monitoring form submissions, reviewing applicant details, and maintaining accurate records
in an Excel spreadsheet.
● Re-applicant Coordination: Collaborate with the interview panel to evaluate re-applicants,
facilitating next steps such as retesting, scheduling additional interviews, or processing
rejections.
● Job Postings: Regularly update and refresh job postings on MyCareersFuture and
university career portals to attract qualified candidates.
● Admission Assessments: Administer and monitor online challenges and aptitude tests,
assisting candidates with technical issues and ensuring smooth completion.
● Interview Scheduling: Coordinate interview logistics, arranging schedules between
candidates and interviewers, and ensuring candidates have a positive experience upon
arrival.
● Data Management: Maintain accurate and up-to-date applicant data and interview notes
for tracking and reporting purposes.

● Contract Management: Track trainee contract signing status, following up as needed to
ensure timely completion of agreements.

Program Management 

Training Needs Analysis: Assist the Programme Manager in assessing training needs,
identifying gaps in existing programs, and implementing improvements to enhance the
overall training experience.
● Cohort Planning: Monitor applicant pipeline numbers to assist with planning for upcoming
cohorts and resource allocation.
● Candidate Onboarding: Support the onboarding of new trainees, ensuring they are
enrolled in the appropriate assessments and training modules.
● Program Support: Provide administrative and logistical support to the Programme
Manager for the effective execution of both the ASTP and other training programs,
including organising workshops and events.
● Ad Hoc Duties: Assist in various tasks related to program delivery, trainee support, and
overall program management as required.

Bachelor’s degree in a relevant field (e.g., Education, Business Administration, Human Resources) or equivalent experience.

- Less than 3 years of experience in recruitment, admissions, program coordination, or a related administrative role.

- Familiarity with recruitment processes and candidate management is a plus.

- Excellent communication skills, both written and verbal.

- Strong organizational skills with attention to detail.
