We are partnering with a prominent Asset Management firm to seek an experienced and organised Assistant to support their CEO. This is a dynamic role that requires an individual who can thrive in a fast-paced environment, manage multiple priorities, and provide seamless administrative and logistical support.

Key Responsibilities

• Serve as the primary point of contact for the CEO, managing correspondence, scheduling, and travel arrangements.
• Coordinate and manage high-level meetings, conferences, and events, both locally and internationally.
• Assist with project management and follow-up on key initiatives led by the CEO.
• Handle confidential information with discretion and professionalism.
• Accompany the CEO during business travel as needed, providing on-site support to ensure smooth operations.
• Maintain accurate records, prepare reports, and perform other duties as required to assist in the efficient management of the CEO’s daily schedule.

Key Requirements

• 4+ years of experience in an Executive Assistant or Personal Assistant role, preferably supporting C-suite executives.
• Strong organizational skills, with the ability to manage and prioritize multiple tasks with a high degree of accuracy.
• Excellent written and verbal communication skills.
• Proficiency in MS Office applications and ability to adapt to new technologies.
• A proactive approach to problem-solving with strong decision-making skills.
• Comfortable with international travel and working across time zones.

We are looking for a dynamic and experienced Marketing Specialist to join our team at AIMS Immigration Specialist. The ideal candidate will be deeply familiar with SEO, SEM, and proficient in leveraging all social media platforms to enhance our brand’s online presence and lead generation efforts.

Responsibilities:

• SEO and SEM Strategy Development: Develop, implement, and manage our SEO and SEM strategies to increase online visibility and improve our search rankings.
• Content Creation and Management: Create compelling content for our website and social media platforms, ensuring it is optimized for search engines and user engagement.
• Social Media Management: Manage and grow our presence on all relevant social media platforms, including Facebook, Instagram, LinkedIn, Twitter, and others.

• Manage sub-contractors and suppliers to ensure quality and on-time delivery within project costs.
• Prepare project schedule/timeline and manage deadlines for the delivery of projects on time.
• Conduct project meetings as and when required, eg. for issues resolution and updates.
• Facilitate change requests to ensure that all parties are informed and manage any impact on schedule and budget.
• Managing client’s expectations during the project transition period.
• Oversee onsite setup work to check on quality delivery, safe work procedures and on-time completion, when required.
• Apply Permit To Work with supporting WSH documentation (Risk Assessment, Methods Statement, Safe Work Procedures) and any project-related admin work when required.
• Source for sub-contractors, suppliers and production material, when required.

• With 2 - 4 of working experience in managing interior fit out project in commercial office design & build
• Excellent communication skills
• Dynamic and comfortable working in a fast-paced environment.
• Comfortable in running a few projects in parallel (depending on the size of projects).
