Job Requirements

• Minimum of 1-year experience as an Admin Assistant
• Experience in the Beauty industry will be advantageous
• Computer literate
• Possess good communication and interpersonal skills
• Fluent in English and Mandarin to communicate with patients and therapists at the clinic
• Result oriented with proven track record.

JD :

• Keen on running events, comfortable with coordination leading up to events (liaising with fellow staff, vendors, creation of EDM/social media) and actual event day activities
• Promote and manage staff facilities, for example, Staff Lounge, Gym and other staff recreational facilities
• Support the team in driving Employee Engagement programs, including employee engagement surveys, pulse surveys, and action and improvement plans.
• Support the team in Employee Engagement Events
• Work in close collaboration and partnership with management and line departments to achieve short-term and long-term goals and objectives
• Administer and execute HR functions and processes
• Provide administrative support
• Support in events such as staff wellness, process/work improvement review projects etc

Responsibilities:

• Act as the primary liaison between the Advancement Office and HQ Finance for all fundraising and donation matter, in particular managing the staff donation process.
• Develop and maintain a comprehensive view of staff donations across through preparation and analysis of regular reports.
• Coordinate with key stakeholders such as HR, Payroll, Shared Services, Finance and Advancement Office to ensure seamless operations of the staff donation process.
• Address and resolve any issues or discrepancies related to staff donations through regular report monitoring and communication with relevant parties.
• Collaborate with team members and other key stakeholders in streamlining the donation process.
• Assist Finance and Advancement office in collating the information needed for reports such as annual reports, progress reports to donors, publication etc.
• Any other ad-hoc projects related to the B charities, or administration of fundraising matters.

Qualifications:

• Diploma in Finance, Business Administration, or a related field.
• 2 - 3 years of working experience in administration.
• Experience in coordination roles, preferably within a large organization.
