(1) PERSONAL ASSISTANT TO THE SECRETARY-GENERAL

The incumbent will act in this capacity as Personal Assistant to the Secretary-General, acting as a sounding board for ideas and ensuring enhanced efficiency and structure across the organisation. S/he is also expected to provide strategic advice and guidance on key developments within the organisation and ensure the appropriate policy approaches are developed to meet IRSG’s mission and objectives. As a result of developing and maintaining research, s/he would be expected to develop initiatives that ensure that IRSG acts as a catalyst for the rubber sector and collaborates with stakeholders on developing evidence-based approaches and support. The incumbent will provide input on strategy and ensure organisational goals are achieved in a well-coordinated, team-oriented manner.

S/he should be able to accurately reflect the Secretary-General’s position in internal and external meetings to help drive understanding of her views. Moreover, s/he works behind the scenes to solve problems, mediate disputes, and deal with issues before they are brought to the Secretary-General. S/he equally ensures Secretary-General’s time is leveraged most effectively in a meeting context; ensuring meeting objectives are realistic and preparations are appropriate.

Work in close cooperation with the Secretary-General and contribute to initiatives for management improvement by capturing, institutionalizing, and sharing best practices and lessons learned. Under the supervision of the Secretary-General, the incumbent supports overall effort to build partnerships, reporting functions, and mobilize an appropriate and sustainable funding base for IRSG from traditional and non-traditional sources. S/he will support the Secretary-General in developing partnerships building, donor mapping, and resource mobilization strategy, tools and procedures and coordinates their implementation including development of quality proposals, presentation and briefing papers to donors.

Account Executive /Senior Account Executive

Job description:

- Check and verify before issuing Sale Invoices and update the collection accordingly.

- Check and match suppliers’ invoices with PO and Performa Invoices taken in AP system and upload all the supporting in the system as well.

- Perform day-to-day financial transactions, including verifying, classifying, computing, recording, all supporting banking transactions, submitting online banking payments, and filing documents.

- Process staff claims, Check, and classify expense items for payment preparation and enter Transactions.

- Perform reconciliation for multi-currencies bank statements.

- Update AR and AP Invoices and perform reconciliation timely and accurately.

- Reconciliation for the Balance sheet items and ensuring the accuracy of the audit schedules.

- Prepare accrual, prepayment, and provision transactions if possible.

- Extract audit schedules to ensure the accuracy of the Profit and loss transaction…

- Take in Fixed assets bills tied up GL with Fixed Assets audit schedules.

- Sent out Statement of Account (AR) and requested suppliers’ Statement (AP) monthly.

- Reconciliation of Inter-companies transactions.

- Submission of Monthly CPF and quarterly GST Filing and other financial duties.

- Budgeting cash flow and projected Profit & loss ac.

- Extract and check monthly closing stock balance.

- All other duties as assigned.

Qualifications

- Minimum LCCI or Diploma in Accountancy

Job Requirement

- Minimum 5 years of working experience in the related field.

- Hardworking, Responsible with a good work attitude, and willing to learn.

- Proficiency in MS Office (Excel and Word)

- Experience in the XERO and AUTO-COUNT accounting systems will be an advantage.

KEY RESPONSIBILITIES

• Maintain records, handle special requests, prepare communication tools, and deliver customer service support.
• Provide sales and ticketing support for upcoming productions, facilitate group sales, handle special requests, and troubleshoot issues for Season Ticket holders. Interface with the Marketing and Management team to provide seating and tickets for sponsors and VIPs.
• Assist in managing door sales and ticket distribution at Front-of-House.
• Conceive and execute the ticketing process for the Triple Threats Musical Theatre Workshop& Showcase.
• Interface with SISTIC as required.
• Primary contact for phone and email enquiries.
• Additional duties as assigned/required, including NAC survey data collection/analysis.

REQUIREMENTS

• Excellent written and verbal communication skills.
• Excellent customer service skills, including conflict resolution.
• Strong project management, multitasking, and decision-making skills.
• An eye for creativity.
• Proficient in Microsoft Office (Word, Excel, PowerPoint).
• Ability to work regular office hours in addition to nights, weekends and occasional holidays.
• Interest in theatre and the Arts.

Responsibilities

• Assist our dentist in clinical and dental procedures.
• Assist in preparing and sterilizing dental instruments.
• Ensure a high standard of infection control.
• Maintain and ensure the cleanliness of all clinic facilities.
• Other related duties include casting of models and handling of lab cases.
• Perform front desk duties with courtesy, empathy, and professionalism in a fast-paced, dynamic environment.
• Other Ad hoc related tasks.

Requirements

Job Details

• Clinic located 5 mins walk from Bedok Interchange.
• Required to work evening but practises flexible scheduling.
• $10 to $17 - Salary commensurate with working experience.
• Bonus allowance if clocked enough part time hours.
