The project manager will play a pivotal role in planning, executing, and closing projects within specified deadlines and budgets. They will collaborate with cross-functional teams (creative, account servicing, finance and production), ensuring seamless communication and successful delivery of advertising campaigns for our diverse client base.
Responsibilities:
Project Planning and Initiation:
â—Ź Work closely with clients and internal stakeholders to understand project requirements, objectives, and deliverables.
â—Ź Develop comprehensive documentation; scope of work and project plans, outlining timelines, resource requirements, and milestones.
â—Ź Manage a wide range of projects delivering tradition creatives (e.g. TVC, film, print, OOH, radio etc.), digital & social assets
â—Ź Experience in CRM implementation, website/platform builds and brand development would be an advantage but not necessary
Team Collaboration:
â—Ź Lead and motivate cross-functional teams, fostering a collaborative and creative working environment.
â—Ź Ensure effective communication between team members, facilitating productive discussions and resolving conflicts.
â—Ź Manage 3rd party production partners to deliver the project scope.
â—Ź Facilitate cross functional internal reviews to guarantee high-quality outcomes.
â—Ź Proactively identify and address challenges that may impact project timelines or deliverables, ensuring swift resolution and minimal disruption to workflow.
Resource Allocation:
â—Ź Collaborate with department heads to determine the optimal creative team for project assignments, taking into account the skills and strengths of team members.
â—Ź Track workloads and collaborate with department heads to recognize and resolve resource requirements, such as reallocating team members or engaging additional team members/freelancers as needed.
â—Ź Assist the project team (strategy, data & analytics, creative, account management, media, etc.) in developing staffing plans.
Budget Management:
â—Ź Develop and manage project budgets, tracking expenses and ensuring financial objectives are met.
â—Ź Manage 3rd party relations and documentation (PO, Invoice, etc.)
â—Ź Provide regular financial updates to the account servicing team, highlighting any budgetary concerns and proposing solutions.
Risk Management:
â—Ź Identify potential risks and challenges early in the project lifecycle.
â—Ź Develop risk mitigation strategies and contingency plans to address unforeseen issues.
Client Communication:
â—Ź Serve as the secondary point of contact for clients, providing regular updates on project status and addressing any client concerns.
â—Ź Ensure expectations are managed effectively, and feedback is incorporated into project plans.
Quality Assurance:
â—Ź Implement quality control processes to ensure the delivery of high-quality campaigns.
â—Ź Conduct thorough reviews of project deliverables to ensure they align with client expectations and agency standards.
â—Ź Flag known & potential issues/risk to the business leads and account management team and provide solutions to address those issues/risks.
Project Documentation:
â—Ź Maintain comprehensive project documentation, including project plans, scope of work, requirements specifications and schedules. Ensure that all project documentation is organized and easily accessible for team members and stakeholders.
