DUTIES & RESPONSIBILITIES

• To maintain a record of incoming / outgoing mails and e-mail.
• To maintain Key Register at Management Office and FCC and record movement of keys.
• To set-up and maintain filing system in Management Office.
• To maintain and update the records of fixed assets and drawing schedules.
• To maintain an updated list of contact information of tenants, fire wardens, vendors, clients, and staff of Management Office etc.
• To administer request for registration/ deregistration of security access card, maintain and update the Security Card Access Register and operate the Security Access Control System.
• To administer request for season parking, maintain and update the Season Car Parking Register and operate the carpark management system.
• Manage carpark collection and liaise with finance team.
• To provide administrative support to Management Team such as calls, typing, filing, updating portal, App, organizing meetings and events, input relevant data needed for the production of reports etc.
• To keep track and maintain inventories necessary for the smooth functioning of the management office such as stamps, stationery, refreshments.
• To maintain the IT system in management office.
• To maintain, update and generate report from the OMS Online Portal including but not limited to input Customer’s Requests and Purchase Orders, and follow through on the necessary actions required.
• To maintain duty roster and leave records of site staff.
• To administer bookings of facilities such as meeting pods, EOT, etc.
• To participate and ensure that our services and activities are in compliance with the OMS procedure and standards.

Knowledge/Experience:

• Tertiary qualification at least 3-5 years of experience.

1.Co-ordinate with Main-contractors, consultants and internal team to ensure smooth work progress.

2) Co-ordinate and direct the Main-contractor’s daily activities and priority of works.

3) Study drawings and check site installation.

4) Resolving technical issues & interfacing issues.

5) Prepare weekly progress report to submit consultant & client.

6) Conduct regular weekly meeting with sub-contractor to discuss Progress and schedule.

7) Arrange daily inspection with consultant and follow up.

8) Review and check drawings before start work.

9) Place material order upon receive construction drawings.

10) Liaise with supplier for material delivery and verify.

11) Monitor the site progress against the approved construction

• Degree in Electrical Engineering.
• Good design and installation knowledge of electrical in commercial & industrial buildings.
• With strong leadership skill, ability to be agile, can adapt quickly to change and pivot, high level intiative, project management and communication skills.
• Able to work independently and under pressure.
• Minimum 5 years’ relevant working experience and proven track records in Singapore.
• Fluent in spoken English.
• Preferably with Class 3 driving license

Job Responsibilities :

Planning, developing and buying of materials, parts, supplies and equipments.

Preparation and processing of purchase orders according to technical and engineering specification.

Sourcing for vendors to ensure capability, costing, capacity and On-Time-Delivery.

Evaluate and negotiate contract terms on pricing and product quality.

Maintain updated records of purchased products, delivery information and invoices.

Perform data entry on incoming materials and conduct verification of delivery order, purchase order and other documentation for finance processing.

Co-ordinate with suppliers and site supervisors for delivery, track orders and ensure timely delivery.

Handle overseas shipment, prepare packing list to project team and ensure correct quantity is received on site.

Matching PO, DO and invoices and raise query if there is any discrepancies.

Maintain good PO system and have periodic system update in terms of supplier, price, product etc.

Job Requirements :

Minimum Diploma in Finance/Accountancy or equivalent..

Minimum 2-3 years of relevant experience.

Good negotiation and coordination skills.

Able to work under pressure and meet tight deadline.

Experience with ERP system will be an advantage

Job Descriptions:

• Must possess experience in using ERP System.
• Must be able to manage full set of accounts.
• Checking and processing payment for workers’ salary.
• GST filling, ECI, Tax computation, IR8A, IR21, Government survey, other relevant government requirement.
• Delivering accurate and timely and monthly financial reporting and statutory accounting for management.
• Intercompany billing and reconciliation.
• Any other ad hoc duties as assigned.

Job Requirements:

• Degree in Finance/Accountancy or Completed ACCA Level 2.
• Minimum 5 years of full set account experience.
• Prior experience in Construction/Building industry with Globe 3 ERP system will be an advantage.
• Good negotiation and coordination skills.
• Able to work independently under pressure and meet tight deadline.
• Remuneration will be based on experience accordingly.
• Experienced candidate will be considered for Senior Executive and Team Lead position.
