About the Role:

This position is an integral part of the team and is mainly responsible for Financial Reporting, Planning & Analysis and Treasury functions. He/she need to also perform other duties, ad hoc assignments and projects as assigned.

Roles and responsibilities:

Financial Planning & Analysis

• Prepare actual and budget/forecast financial reporting and presentation, including improve the template when needed.
• Perform variance analysis and document commentaries on financial results for the respective business and operation units.
• Partner with business teams to support business decisions & strategy.
• Ensure each business and operation units costs are being forecasted and accounted properly for before month end close.
• Assist to manage outsource service provider related to month end reporting package.

Intercompany transactions Management

• Ensure agreements are in place and maintain inter-co agreement listings up to-date.
• Update intercompany recharges template for corporate function.

Treasury Matters

• Support in preparing daily cash flow report.
• Manage hedging operations, evaluation, and monitoring of daily rates.
• Support in other Treasury matters.

Others

• Ensure compliance to Standard Operating Procedures, Policies, internal control procedures and accounting policies.
• Review existing processes and drive for continuous improvements.
• Perform other duties, ad hoc assignments and projects as assigned.

JOB PURPOSE:

Support and coordinate the internal and external resources to expedite company workflow.

KEY RESPONSIBILITIES:

• Handle full set of accounts, including AR, AP, GL, costing, financial statements and GST reporting for a few companies.

MISSION

The main role of the Admissions Executive is to ensure that administrative formalities for student enrolment, re-enrolment and departure run smoothly.

This role involves simultaneously handling multiple requests from families at all stages of the enrolment, re-enrolment and departure process, and responding to queries.

This mission is essential to ensure a good first impression of the International French School (Singapore) and that requests are processed in accordance with the school's deadlines, policies and practices.

RESPONSIBILITIES

1. Administrative management of enrolment and re-enrolment files:

• Manage student enrolment and re-enrolment requests (verification and validation of required documents, communication with parents for missing/additional documents) from A to A, including necessary developments on Eduka tool, planning and communication
• Manage admissions committees (monthly planning, preparation, information to families)
• Update the student database (Eduka) and create opportunities on the CRM tool (Salesforce)
• Ensure the validity of visas (LTVP, DP, diplomatic visa) as well as the application of student passes and MOE exemptions for students of Singaporean nationality
• Produce certificates upon request

2. Management of departure files - follow-up of requests, preparation, handing over of files to families, study/exclusion certificates

3. Internal and External Relationship Management:

• Be the central point of contact to onboard and welcome prospective and/or enrolling families (by phone and by appointment)
• Advise families regarding educational opportunities and options, admission process and other requirements, policies and procedures, as appropriate
• Perform campus visits upon request
• Provide support for Open House (8 times/year : welcoming, tours, answers to Q&A, etc.) as well as at events to welcome new families
• Attend internal and external events (trade fairs, visits, etc.)
• Liaise with the various IFS departments: pedagogical secretariats, finance, GAIN, FLSCO, French Passerelle, IT and libraries
• Discuss specific situations with the pedagogical leadership when necessary

4. Management of reporting related to its activity:

• Regularly report on student enrolment, re-enrollments and departures, and the demographics of IFS
• Follow-up of dashboard
• Respond to various surveys (AEFE, CPE)

5. Contribute to the continuous improvement of activity:

• Ensure that information and forms on the website are up to date.
• Identify and follow up on improvements to be made to Eduka to facilitate the proper management of enrolment, re-enrolment and departures (participate in the testing of the tools)
• Participate in the management of ad hoc continuous improvement projects as requested by management

SKILLS, ABILITY AND REQUIRED FORMATION

• Degree in secretarial, administrative assistance or equivalent, or experience in a similar position
• Proficiency in computer office software
• Knowledge of database management software (Eduka, CRM) would be a plus
• Proficiency in French and English required
• Have a good sense of organisation
• Demonstrate a high level of rigour and have a keen eye for detail and respect for procedures
