What You’ll Do

- Calendar Management: Oversee the day-to-day calendar of executives, including organizing meetings and managing schedules with precision.

- Travel Coordination: Provide travel support, including visa applications, flight reservations, and hotel bookings.

- Meeting Preparation: Schedule and coordinate appointments for the leadership team, assist in all meeting preparations, and set up conference calls across different time zones.

- Expense Management: Prepare expense reports, auditing against travel schedules and monthly credit card statements.

- Stakeholder Communication: Work closely with executives to keep them informed of upcoming commitments and responsibilities, following up as necessary.

- Deliverables Support: Complete critical tasks such as drafting acknowledgment letters and personal correspondence that enable senior leaders to effectively lead the company.

- Presentation Preparation: Create impactful PowerPoint presentations for business stakeholders, ensuring clarity and engagement in communication materials.

- Project Coordination: Provide support for pitches and other business initiatives, coordinating efforts across offices and liaising with the APAC team.

- Ad-Hoc Tasks: Assist with various ad-hoc tasks as assigned.

Who You Are

- Experience: You have 3-5 years of experience supporting executive-level teams, preferably in an agency environment.

- Technical Proficiency: High proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) is essential for creating presentations and managing documents effectively.

- Organizational Skills: Highly organized and adaptable; you can handle stress and ambiguity with grace.

- Problem-Solving Ability: Demonstrated capability to resolve issues effectively while maintaining a proactive approach.

Responsibilities:

• Provide support to the legal team and other business units, with a focus on contract preparation and management;
• Assist in all aspects of contracts preparation and management, including handling, preparing and drafting documents, agreements, letters, corporate resolutions, conducting research, administration, management and monitoring of all contracts and corporate documents;
• Handle a fair amount of administrative tasks and incidental documentation matters necessary to ensure compliance with corporate policy and standard operating procedures;
• Liaise with other departments, overseas counterparts, and external parties where necessary;

Requirements:

• Bachelor or Diploma (Preferably in Law, legal studies, corporate secretarial practice or equivalent)
• Preferably 1-2 years of working experience as company secretary or contract management staff, paralegal or other experience in supporting legal team or in contracts preparations
• Experience in handling corporate documents, contracts and documentation for sales and purchase of commodities or other commercial contracts
• Excellent communication and interpersonal skills
• Organized, meticulous and able to work independently
• Ability to work efficiently in a fast-paced environment
• Highly ethical, discreet, and able to maintain confidentiality
• Proficient in MS Office applications

• Perform account servicing tasks and assist clients with insurance placement and guidance.
• Work with customers to determine their insurance requirements and provide them with appropriate advice.
• Get the customer to provide pertinent underwriting information for submission to underwriters
• Examine the costs, conditions, and terms of the insurance quotes, and provide clients with appropriate advice.
• Keep track of customer accounts, make sure any unpaid bills are collected and when necessary, renew clients' expiring policies and obtain the training and certifications essential to perform your work obligations.

Requirements:

• Preferably Bachelor’s degree and with certifications in BCP, PGI, ComGI or similar insurance certificates.
• Relevant work experience in Financial or Insurance products
• Motivated and a team player
• Immediate starter is preferred

Your role will involve collaborating closely with the various stakeholders and project team to ensure these events run seamlessly, from initial concept to the final moments of the event. JOB RESPONSIBILITIES:

· Event planning and collaboration with the team to develop event budgets, timelines, and project plans.

· Engagement with vendors and negotiate contracts and agreements with suppliers, sponsors, and

· Ensure timely delivery of resources and services required for the event.

· Cross-functional collaboration with Design Team to monitor the timely delivery of event collaterals, including

posters, banners, and promotional materials.

· Coordinate transportation, accommodation, and catering as per the client's chosen venue.

- Ensure all logistical details are aligned with the operational plan.

· Supporting on-site event coordination and be present at events to oversee operations and address any issues.

· Ensure that all event activities run smoothly and according to the plan.

· Monitor event budgets, track expenses, and seek cost-effective solutions.

· Perform data entry to capture all costs from vendors post event and assist in submission of claims

· Prepare post event report and documentation.

Qualifications:

· Pursuing Diploma / Bachelor's degree in Sports Management,Hospitality Management, Marketing, Business

Administration, or a related field. Event Management, or a related field.

· Strong organizational and time management skills.

· Excellent communication and interpersonal skills.

· Passion for sports and events.

· Ability to work under pressure and meet deadlines.
