Job Description

Assist in managing group purchasing and support activities of the Procurement Department for various projects and brands. Support the direction of the Group Procurement Manager

Job Scope(s):

• Sources for vendors and evaluates quotations.
• Negotiates and coordinates with suppliers and cross functional teams for best possible price purchases.
• Maintain and upkeep price list and central ordering system
• Support operation team on procurement needs.
• Coordinates with operation team and chefs, on stock availability and delivery schedules and to maintain tight inventory control.
• Generate purchase order and maintain the filing system of purchasing records.
• Involved in planning, sourcing and recommending suitable ingredients, materials and services in accordance with desired purchase conditions, from local and overseas suppliers and vendors.
• Ensure procurement procedures and policies are followed.
• Conduct regular review cost effectiveness and performance of suppliers and vendors by making random checks on supplier’s and outlets.
• Build strong network and partnership with suppliers.
• Carry out ad hoc assignment as instructed by Management

Job Requirement(s):

• Diploma or equivalent in Purchasing/Materials/Supply Chain Management
• Experience preferred but not essential, proactive and result driven is essential
• Experience in purchasing function in F&B industry would be an advantage
• Effectively multilingual in both English and Mandarin languages (in order to generate and read reports in Chinese language and also, to negotiate and maintain good relationships with all English and Mandarin speaking associates)
• Strong communication skill to work with various partners and cross department
• Resourceful with excellent negotiation skills and has good market and commercial awareness
• Good team player with dynamic personality and result-oriented
• Positive work attitude
• Good administrative and problem solving skills
• Able to handle multi-tasking and work pressure

Responsibilities:

• Purchase administration and order processing
• Negotiate with suppliers for the most cost-effective deal
• Negotiation of pricing, credit terms and supplier contracts, delivery schedule
• Monitor cost and project budget and develop cost forecasts
• Vendor development-evaluate vendors based on quality, on-time delivery, and cost

Qualifications:

Responsibilities:

• Office Management: Oversee daily administrative tasks to ensure smooth operations.

• Event Coordination: Assist in organizing company activities and team-building events.
• Procurement Support: Manage office supply purchases and transportation agreements.

• Travel Arrangements: Help with travel plans for corporate staff.
• Reception Support: Assist when the Receptionist is unavailable.
• Project Involvement: Participate in property-related projects and take meeting minutes.

Reporting to a team lead, this role is to support day to day billing operations and projects in inter-operators billing.

Make an Impact by:

• Perform daily/monthly reconciliation for system operations
• Perform bill verification received from Partners
• Promptly update system configurables monthly or when requested by Product team
• Perform billing activities as per agreed operation schedules, and timely process of billing charges, and ensure bills are dispatched to customers on time
• Work with various parties to perform usage / invoice rejections investigation and resolve issues in a prompt and timely manner
• Require to perform and complete all month-end closing/financial activities as per month-end / year-end closing schedules
• Work closely with IT and various parties to promptly resolve all month-end closing issues as per schedule and without major hiccup that could delay the financial reporting.
• Promptly prepare and dispatch reports to various stakeholders
• Assist team lead in performing UAT for system enhancements / billing projects, implementing new changes, and documenting new operation processes.
• Any Ad-Hoc duties assigned by manager.

This is a 1 year direct contact with Singtel.

Skills for Success:
