Core purpose of the role: This position will play a pivotal role in the operations team for all HR related matters. The individual will be responsible for all aspects of HR from recruitment, onboarding/ off boarding processes, claims, training and development, as well as staff engagement and welfare of the employees.

Job scopes:

Recruitment and On-boarding

• Determine and use the appropriate sourcing channel (including Jobs Bank, LinkedIn, job portals, recruitment agencies and internal applications)
• Coordinate the recruitment process, including but not limited to understanding job specifications, posting advertisements, pre-screening of candidate’s applications according to specifications, submitting qualified applications to the hiring managers and tracking application progress to position close

HR Operations

Performance Management

• Support the full suite of annual performance review cycle (communications to staff, creation of online forms and provide updates on completion rates and analytics)
• Work closely with business leaders to ensure the performance management exercises are properly executed and completed on time

Pay Review

• Support the annual pay review process
• Creation of excel spreadsheets for management input and analytics to update data on performance excel spreadsheets
• Participate in C&B surveys and benchmark with various key companies in similar industry

Employee Relations

• Support to business leaders in all employee relations matters
• Provide HR policies guidance and interpretation to employees
• Handle employee grievances, disciplinary issues and counsel staff

Offboarding

• Coordinate exit process: payroll, employee records, exit interviews

Payroll & Benefits Administration

• Manage and execute regular benefits administrations
• Ensure timely and accurate execution of CPF, government-claim submissions (Maternity, Paternity, Childcare and NS claims), income tax (IR8A and IR21) matters
• Maintain accuracy and update movements in company insurance policy

Employee Engagement

• Plan and execute internal employee engagement activities such as dialogues, and corporate staff engagement events.

Learning & Development

• Conduct training needs analysis for business units and employees.
• Source for external vendors, coordinate course registration and training grant applications
• Evaluate and monitor training programs and budgets

Ad Hoc Projects

• Drive and implement process improvements to increase HR efficiency and effectiveness.
• Participate in ad-hoc assignments and projects as assigned.

Qualifications & Experience:

Job Scope

Job Description

Provide assistance in procurement, financial and administrative matters at Risk Management Institute:

Office & facilities management (35%)

• Assist in procurement needs of the research institute and staff by working with procurement business partners
• Assist in HR matters (recruitment, appointment/re-appointment, on-boarding/off-boarding) of research/adjuncts/administrative staff by working with the respective hiring teams and HR business partners
• Assist in financial matters (i.e. Asset management, etc.) with finance business partners
• Coordinate and assist in the HR appointments/administrative matters of academic visitors, visiting professors and interns by working with HR business partner
• Provide administrative support for research seminars, conferences, pedagogical talks, and other events and ad-hoc administrative/HR matters of the research institute
• Provide general office administrative support and building facilities management
• Maintain order supplies and handle general office tasks.
• Any other ad-hoc tasks as assigned by reporting manager

Programme support (35%)

• Assist with administrative duties for the Master of Science in Financial Engineering (MFE) programme team, including but not limited to – Checking of student records, documentation, providing support at events/exams, coordination with Procurement, HR, Finance offices, liaison with students and lecturers on administrative matters
• Assist in financial matters, e.g., payments
• Provide general administrative support to the team

PA duties (30%)

• Managing director’s calendar, emails, meetings and appointments
• Process claims and expense reports and maintain accurate financial records
• Organize and coordinate events, seminars and conferences
• Uphold confidentiality and manage sensitive information with discretion

Qualifications

• Recognised Diploma / Degree with at least 2 years of relevant working experience
• Decent understanding and working knowledge of HR matters is a plus
• Proficient in the use of Microsoft Office (Word, Excel, PowerPoint, etc.)
• Knowledge of good office practices, procedures, IT savvy, and equipment

Job Description:

• Assist with leasing sales admin process and coordinating with inter-department for day-to-day work
• Handling of incoming calls and providing customer service

• Plan monthly enrichment programme schedules and holiday camps for all schools.

Job Description

The incumbent will act as a key member for one of the most sought-after Master’s programmes at the NUS Faculty of Science. The dedicated person will work with the programme manager to ensure the smooth delivery of the self-financing programme and ensure its service standard. By working with the Programme Manager, Programme Director and the Deanery members at the Faculty of Science, he/she will contribute to the Programmes’ end-to-end administration including admission, programme management, alumni relations, and other related portfolios.
