Job Role Description
Canossaville Student Care (CSC) is an Integrated Student Care that serves students from the mainstream (majority) and special schools (minority). CSC gives priority to the most needy and disadvantaged families.
Under the direction of the Head, Student Care, the SC Manager will lead a team of educators and administrative staff to uphold the Mission and work in partnership with the other sectors (CCCS, CCDU, CPS, CCPS, CS, CC) to serve the holistic needs of the children and families.
He/She will serve as an experienced role model to guide, mentor, and empower the Student Care team all while creating a positive work and team culture where members strive together to provide the highest standards of care for our students and their families.
Critical Work Functions and Key Tasks
Strategic Support
- Work closely with the Head, Student Care to oversee the implementation of strategic Focus Areas and review progress
- Lead and plan for monthly contact time meetings
People Management
- Support in the implementation of the strategic direction to achieve CSC’ vision of “A leading Student Care, making a Difference” by leading the team of facilitators, ensuring alignment to the Canossian Mission
- Ensure that staff’s yearly performance targets are aligned with the SC strategic focus areas
- Ensure that direct reports under his/her care are growing professionally and achieving their targets set for the year
- Conduct appraisals for direct reports and recommend staff for promotion when applicable
- Conduct the SC-specific sector Induction, together with the Head, SC, for new staff
- Work closely with the SC Assistant Manager to allocate manpower efficiently and effectively
- Identify training/developmental needs of his/her Student Care team
- Ensure that his/her Student Care team attend mandatory workshops/talks/certification courses
End-to-End Student Enrolment, Administration and Fee-Related Matters
- Oversee the administration and management of:
- Enrolment (priority & non-priority cases), withdrawal, discharge
- Student Care Financial Assistance (SCFA) applications and renewal (SPED and non SPED)
- Student enrolment and SCFA database
- Canossaville Education Fund (CEF) applications and recommendations to CEF committee
- SC-related matters with MSF, MOE, SGEnable and other relevant governing bodies
- Draft all student enrolment, withdrawal and discharge policies for communication to staff and stakeholders
Finance and Governance
- Consolidate the monthly credit card report for submission to the Head, Student Services
- Work closely with the Finance Team on all fee-related matters
- Liaise with parents/caregivers on fee-related matters
- Ensure timely fee collections
- Follow up on outstanding fees
- Ensure full compliance and manage all audits for SC
- Submit data for internal and external reporting
Service Quality
- Establish and maintain good interpersonal relations with sector leaders, sector team leads, and families
- Ensure service quality through management of feedback and queries from sector leaders, students, and families
- Establish excellent standards of quality care across Student Care
Student and Parent Management
- Be accountable for the health, safety, and overall well-being of all students from arrival to dismissal
- Be proactive to address complex and multi-faceted needs or challenges faced by individual students
- Conduct thorough investigation of incidents
- Vet investigation reports, where applicable
- Serve as the ultimate point of escalation for parent grievances and student issues, ensuring swift and effective resolution
- Provide guidance and support to the Student Care Team in student and parent management
- Prepare all communications with parents on SC-related matters
Programme Management
- Responsible for setting the direction for activities, events, and projects rolled out for students
- Collaborate with CCDU on Socio-Emotional Learning, Learning & Behaviour and Special Needs support for students
- Ensure that core programmes are delivered with fidelity and with regularity
- Collaborate with Volunteer Management (VM) & Outreach for volunteers and programmes
- Collaborate with the Estate Manager for safety and facilities management
Resource Management
- Assist in the annual budgeting exercise to ensure sustainability of CSC services and communicate approved budget to team
- Monitor the spending of the SC budget to ensure effective use
- Manage the SC space planning together with the Head, SC
- Ensure that his/her Student Care Team are equipped with required resources / tools to employ their work effectively
- Ensure that all SC assigned equipment (low and high tech) are kept in good order
- Review SOPs and workflows across CSC as part of knowledge management
Systems Development
- Lead the development of standard operating procedures for the sector, to govern the services provided to our students and their families
- Ensure communication of and adherence to department-related processes, workflows and SOPs
- Maintain timely and accurate documentation and records
- Review, enhance and/or approve department-related processes, workflows, documentation and reports when necessary
Classroom
- To perform classroom duties/ classroom management (when needed)
General
- Performs any other duties as assigned by the Senior Management
Education, Skills, and Competencies
Education and Experience
- Minimum a Diploma in any discipline (BONUS – Diploma in Care and Programme (Student Services and Coaching)
- Completion of WSQ Introductory Student Care Course offered by Ngee Ann Polytechnic
- Supervisory experience in a school-based Student Care Centre (Minimum of 5 years)
- Experience working with children between the ages of 7 to 14
