Job Description
The incumbent will provide crucial support to the centre’s continuous drive and achievement in its impact and business continuity. As a Manager, she/he will be expected to draft proposals and funding papers, and manage CGS's marketing and publicity activities. In addition, she/he will also provide secretariat and administrative support in the day-to-day running of the centre.
1) Marketing and Branding of CGS
- Create content for the website, LinkedIn page, newsletter
- Monitor media mentions via NUS BIZ notifications
- Draft commentaries for media publications
2) Business Development Support
- Draft business and funding proposals
- Conduct market research
- Create a business development deck
- Support business meetings by taking meeting minutes
- Provide secretariat support for the CGS advisory board meeting
- Plan and run executive workshops
3) Project Management
- Edit research reports, technical reports, proposals and powerpoint slides and other deliverables as decided by the CGS Director
- Prepare agreements and collaterals
4) Administrative Support (HR, Finance-related matters and day-to-day office operations)
- Administrative dutiesResponsible for the day-to-day office support
- Recruitment of student research assistants, interns, and casual staffProvide administrative support with job postings and do the necessary paperwork
Understand the different work schemes for each job type
- Administer paperwork for visiting PhD students (about 6 applications a year and 3 successful students a year)
- Execute the paperwork and IT support for new colleagues and new casual staff working on research projects
- Finance-related dutiesSupport the procurement-related matters for the centre which include monthly tracking, reconciliation of expenses, and issuing invoices
Support the CGS Director in his expense claims
- Update and maintain the databaseTrack valid email addresses, update job titles and input new contacts
5) Event Planning and Logistics
- Assist with event planning and adapt standard operating procedure (SOP) to current events and meetings
- Supervise student helpers during events and guide them in customer service response
6) Internal Stakeholder Engagement
- Liaise with admin staff and faculty members on CGS’s admin and research matters
Qualifications
- Degree or equivalent with at least 2 to 3 years of relevant working experience
- Mature, independent candidate
- Detailed, meticulous and organized
- Ability to work independently with minimum instructions
- Excellent written and verbal communication skills
- Proficient in spoken Mandarin due to the need to interact frequently with visiting PhD students from China
- Possess excellent customer relations skills
- Good team player
- Proficient in Microsoft Office word and excel
