What you'll do:

1. Programme and Project Management

• Maintain overview of all key programmes activities and operations
• Support project team meetings (internal and external)
• Liaise with project leads/members and HR, Finance, Procurement, IT, Admin, etc as necessary

2. Grant Management

• Maintain relevant programme grant documents
• Provide support in collating and checking of grant documentation and processes (e.g., proposal, reporting, variation requests, fund requisitions, etc.)

3. JRC Meeting Coordination

What you'll need to have:

Key Responsibilities:

About The Role

1. To assist in organising and coordinating projects listed under the YE key thrust.

• Coordinate appropriate record keeping of training information and statistics as well as the maintenance and updating the Institute’s databases

• Undertake greater responsibility of providing key administrative support in the institute’s operations

• Plan, organize and implement PGAHI training programmes beyond providing administrative support to PGAHI programmes for Allied Health Professionals in SGH and the broader local healthcare community

Responsible for full sets of accounts (AP, AR, GL).

Process suppliers’ payments, verify documents (invoices / DO) are in order, prepare payment vouchers, and issue cheques and TT transactions.

Reconciliation of balance sheet accounts, including creditors/suppliers, inter-company, and bank.

Maintain fixed asset register, prepayment, loan, HP, and deferred income schedules. Provision of monthly expenses and asset tagging.

Perform daily sales reconciliation and liaise with outlet staff on any collection issues.

Prepare inter-company billings according to the company’s policy.

Prepare quarterly GST submission reports.

Liaise with external auditors on queries during financial year-end audits.

Job Requirements

• Diploma/Degree in Accountancy / Partial ACCA
• Meticulous and able to handle fast workflow with high transaction volume, and tight deadlines
• Proficient in Microsoft Excel (V-lookup, Pivot table, etc) is a must

CRM & Data Analytic

· Assist in the formulation and execution of CRM marketing automation, journeys, and processes to achieve business efficiency.

· Leverage CRM tools to analyse customer database, derive insights and execute recommendations together with cross functional team.

· To be the data custodian for the brand. Maintain, monitor, and ensure customer database is updated in line with internal data quality policy.

· Support leads assignment and monitor follow-up tasks closely by the sales team.

· Generate and analyse CRM campaign result, draw insights and propose data-driven ideas and recommendations.

JOB SUMMARY

Duties and Responsibilities

• The Duty Manager is the representative of Senior Management.
• The Duty Manager will be the first to be called if a guest is looking for a member of the management team. In dealing with different situations, the Duty Manager must ensure that they use tact and diplomacy to rectify quickly the situation, reaching the guest satisfaction but as well respecting the procedures and organization of Courtyard by Marriott.
• Maintain an accurate record in the Duty Manager's logbook of items and incidents which may be of concern to the management and/or which may requires further attentions.

Other Functions

In the absence of Front Office Manager, the Night Duty Manager will call right away the appropriate persons; will ensure that each staff takes control of his/her duties during Fire and that the guests are well informed of the security measures to be taken.
• Report to security any suspicious behaviour, luggage and altercations. All incidents must be recorded in the Duty Manager’s Logbook.
• Effectively use the results of Duty Manager’s Logbook and all other guest feedback mediums to improve product and service delivery.

Lobby Co-ordination

• The first assignment & main area of work of the Duty Manager is the Lobby, when the Duty Manager is not away to do a specific task, he/she will spend all his/her time in the lobby to co-ordinate the overall lobby activity and will be dynamic in guest relationships.
• The Duty Manager will join daily the Front Office Manager briefing & weekly the Front Office Meeting to bring with dynamism and initiatives all the questions, case studies & new ideas to be considered and discussed.
• The Duty Manager will be very active giving full information & updates to all the Front Office staff. During the absence of the Front Office Manager, The Briefing will be conducted by the Duty Manager.
• All incidents must be recorded in the Duty Manager Logbook. Front Office Manager to be contacted in case of any emergency.
• Ensure the overall co-ordination of the Front Office Operations and to assist all sections of the Front Office department.

Supervision & Control
