You will be responsible for the Finance and Accounting function of Autism Association Singapore in the following areas:

· Handling of Accounts Receivable process including billing and collection

· Handling of Accounts Payable process including procurement, supplier invoice verification, coding & posting of invoices and data entry

· Handle and process Purchase Requisitions – include match with vendor invoices, monitor and clear outstanding PR that is more than 3 months old

· Prepare journal vouchers and post in accounting system (SAP)

· Bank reconciliation, related parties reconciliation

· Donation – managing donation in DMS for Finance & IRAS submission

· Handle Fixed Assets

· Handle Petty Cash and Bank Payment

· Generate timely update of Monthly reports, budget tracking and closing of accounts

· Provide support to team Finance at month end closing

· Provide support for annual external audit and budget exercise

· Assist in new processes and system implementation when required

· Coordinate and liaise internal parties (school, centres and head quarters)

Qualifications and Requirements

· Minimum Diploma /ITE, Certificate in Accountancy, Finance or its equivalent

Accountabilities:

HE Programme Delivery: Monitor and maintain an efficient and coordinated system to deliver the programmes. Oversee contracts, payments, billing, enrolment system set-up, student's pass validity and report checking. Ensure proper set-up for class selection, course evaluation and online teaching platforms. Coordination with University Partners/Stakeholders: Maintain good relations with university partners/stakeholders and student leaders. To stay abreast of changes by university partners/stakeholders which may affect resource management. Coordinate and execute activities to facilitate visits.

Lecturer Management: Tabulate the information required for the accurate deployment of qualified lecturers. Ensure lecturers are approved to teach by both SIM and CPE. Propose resolutions to issues faced by lecturers. (as applicable)

Student Management: Oversee student life cycle. Maintain timely, friendly and nurturing communication with stakeholders including prospects, students and alumni. Resolve customer complaints and feedback. Work with academic leads to review academic performance and carry out intervention for weak-performing students.

Marketing and Recruitment: Maintain an updated pool of students and graduates to profile. Roster and support all marketing and recruitment efforts, conduct briefings and work with key stakeholders to ensure smooth on-boarding of new students.

Programme Review: Generate data and statistics for planning and review of activities. Follow through changes (system setup, etc) for programme reviews (internal and external).

Project Management: Oversee continuous improvement project to ensure project effectiveness and team engagement.

Academic Education and Work Experience:

• Onboarding: Help with the onboarding process for new employees, including preparing documents, coordinating training, and facilitating introductions.
• Employee Records: Maintain accurate and up-to-date employee records (personal details, contracts, leave, performance, etc.).
• Payroll Support: Assist in payroll preparation by collecting attendance, overtime, and leave records.
• Benefits Administration: Help with managing employee benefits, such as insurance, leave, and other perks.
• Employee Relations: Support HR in addressing employee queries or concerns related to policies or procedures.

2. Administrative Support:

• Office Management: Oversee daily office operations, including office supplies, equipment maintenance, and general office organization.

• Correspondence: Handle incoming calls, emails, and postal mail, and redirect them as necessary.

3. General Office Support:

• Support HR and Admin Projects: Assist in HR and administrative projects, such as employee surveys, office events, or performance reviews.
• Filing & Documentation: Ensure all employee files and company records are organized and securely stored.
• Support Training & Development: Help coordinate training sessions or workshops for employees.

Skills & Qualifications:

- Education: A degree or diploma in Human Resources, Business Administration, or a related field is preferred.

- Experience: Previous experience in HR or office administration is an advantage.

Job Responsibilities:

• Candidates should exhibit initiative, self-motivation, the ability to handle stress, and possess strong analytical and communication skills.
• Respond to customer inquiries and prepare quotations for both local and overseas customers.
• Coordinate deliveries with customers and the internal logistics team.
• Follow up with buyers to ensure listings are updated and assigned tasks are completed.
• List new item SKUs in supermarket outlets such as Fairprice, Giant, Prime, Sheng Siong, and pet shops.

Requirements:

• Diploma or Degree qualification(s).
• Experience in handling listings for supermarkets such as Fairprice, Sheng Siong, Prime, and pet shops is an advantage.

Key Responsibilities:

· Responsible for managing Accounts Payable (AP), Accounts Receivable (AR), and General Ledger (GL) functions

· Prepare AR invoices, monthly debit and credit notes .

· Generate reports for management related to payable suppliers and prepare monthly bank reconciliation and financial statements

· Check and classify account codes in receipts and payment vouchers and prepare journal entries for non-cash items using Excel

· Prepare quarterly GST submissions, monthly cash flow statements, and monitor monthly stock balance and prepare stock ledgers

· Implement and execute departmental and organisational controls and procedures

· Instruct and process all marine industry sub-contract work

· Responsible in payroll processing.

· Perform and Handle tax clearance.

· Handle work pass application, renewal and cancellation and work pass related matters including tax clearance.

· Maintain and Update Employees Files and Record in Hr system.

· Handle and Resolve queries on payroll related matter.

· Communicate with shipyard and MOM to follow and to implement new measures on foreign workers.

· Handling comprehensive work permit application, Worker Grievances and workers welfare.

Required Skills and Qualifications:

· Minimum Diploma in Accounting or Finance

· At least 4 years of experience in a similar role

· Experience in Marine, Construction or Process Industry

· Strong knowledge of accounting principles and standards

· Proficiency in Microsoft Excel and other accounting software

· Excellent attention to detail, organizational, and communication skills.
