Customer service relation duties:

• Attend to customer (s) phone enquiries according to corporate salutation & SOP.

Administration duties

• All phone bookings to be keyed into Plato according to location accurately.
• To notify clinic / seek confirmation if the booking / request form that did not come through fax within the same day.
• Upon receipt of booking / MRI request form received- to consult the radiographer / radiologist for number of regions to be performed.
• To determine amount of time to block, and to decide if marker, contrast injection or additional sequence / scan is required.
• Radiographer to sign off all screening / consent form and staff to scan duly completed documents into Plato.
• Billing is based on booking form or verified through phone confirmation.
• Add-on scans will require prior approval from clinic / clinicians verified through approved communication portal.
• Ask pt to take a visual of their form for insurance claim & make a copy for Medisave due diligence.
• On arrival, perform due diligence of Medisave checking on balance / entitled amount before the scan.
• Perform financial counselling clearly and to be acknowledged before the scan.
• Upon completion of scan to check that contrast serial number if given, is pasted on form, amount administered documented and the Dr / nurse administrating the contrast is documented.
• Procure LOG / GOP from international insurance companies e.g.: CIGNA, BUPA
• Perform cash, credit card, contactless & banking transactions.
• Perform checks & end day settlement for invoices, reconcile Plato pay transactions against Stripe payments received.
• Perform Filing of booking forms and Medisave documents for the month
• Follow up with unpaid invoices.

Accounts (MEDISAVE)

• Perform full set Medisave diligence according to target timeline.
• File them correctly for audit
• Prepare the clinic for MOH inspection. Once every 2 years
• Prepare the clinic / equipment for maintenance schedule

House keeping duties

• Keep the facility clean-food / drinks and in organized & hygienic conditions.

Basic Function of Position:

Schedule meetings and manage calendars, besides answering phone calls, emails, and messages. Taking accurate and comprehensive notes at meetings, helping with daily time management, running errands as requested and performing secretarial work, and providing senior managers with day-to-day administrative support.

Roles & Responsibilities:

• Relief Director of administrative and other routine matters, allowing GM to focus on the management of the company
• Implementing Director’s instructions to the company, in strict accordance. Managing implementation issues and reporting back to GM on the degree of adherence and other feedback
• Coordinating and solving problems that straddle departments or do not fall under specific departments
• Relief Director of distracting routine tasks (i.e. mail, bills, telephone inquiries, etc.), to allow focus on management tasks
• Answering phone calls, assisting in inquiries and directing to relevant personnel
• Occasionally will be required to assist in retail sales and stock-taking
• Plan, schedule, and remind the Director of meetings and appointments
• Record-keeping of confidential and controlled documents
• Prepare minutes of meetings and correspondences meeting
• Prepare, monitor, and compile management reports, etc
• Perform full spectrum of administrative support
• Manage documents for quotations, proposals, projects, etc
• Provide support such as following up with departments and projects
• Provide administrative support such as filing, updating, and maintaining client and policy data
• Work with various business units, government agencies, and associations on behalf of the Managing Director
• Maintain proper filing system, including data management and file sharing for managing director
• Any other general duties as assigned by the Managing Director
• Have a strong work ethic and are eager to learn, including add-on services

Requirements:

• Diploma / Degree in any discipline
• Minimum 3 years of relevant work experience in a similar role preferred
• Class 3 Driving License
• High proficiency with MS Excel especially VLOOKUP
• Meticulous and able to work independently and as a team
• Able to work in a fast pace working environment
• Positive working attitude and pleasant personality to live and work well with colleagues
• Able to start work immediately
• Good interpersonal skills
• Is proficient in English

1. Preparation of maintenance schedule according to clients master schedule.

2. Preparation of progress report and submission

3. Procurement of material/ parts/ components

4. Technical assessment of systems and introduction of retrofit / replacement recommendation to clients

5. On the job risk analysis and preparation of risk assessment procedure.

6. Preparation of method of statement / process for presentation to clients.

7. Perform checks and inspections of entire systems including control parameters attendance.

8. Troubleshooting of fault / breakdowns and rectification according to authorities / clients requirement.

9. Perform full set of testing complying to authorities / clients requirement.

10. Perform maintenance program and complying to authorities / clients requirementt.

11. Attendance of meeting and or site survey with clients.

12. Submission of quotations / costing to clients within stimulated time frame.

13. Maintenance of good public relationship with vendors / clients.

14. Logistic and manpower planning and arrangement.

• Specialising in Facilities Maintenance
• Candidate must possess at least Diploma/Advanced/Higher/Graduate Diploma in Facilities Management, Building Services, Engineering (Civil, Mechanical or Electrical) or equivalent.
• At least 5 Years of working experience in the related field is required for Executive position and at least 10 Years for Manager position.
• Required Skill(s): Microsoft Office
• Preferably Senior Executive specialized in Engineering - Civil/Construction/M&E/Facilities Maintenance or equivalent.
• Preferably candidates with valid Class 3 Driving License (M)

Job Description

• Managing accounts payable using accounting software and other programs

• Handling accounts payable for separate entities and vendors

• Analyzing workflow processes

• Establishing and maintaining relationships with new and existing vendors

• Ensuring bills and payroll are paid in a timely and accurate manner while adhering to departmental procedures

• Processing due invoices for payments

• Comparing purchase orders, prices, terms of payment and other charges

• Processing transactions and performing accounting duties such as account maintenance, recording entries and reconciling books of accounts

Job Requirement:

• Account/ Business / Economics related qualifications required

• Understanding of basic principles of finance, accounting, and bookkeeping

• Superb time management skills and detail orientation

• Ability to maintain confidentiality of company and partner information

• Experience in accounts payable is an advantage

• Experience with accounting software and online platforms is an advantage

• Able to commit 6-9 months preferred
