Responsibilities:

1. Customer Relations:Open new customer outlets and service existing ones for both new and recurring orders.

2. Sales Development:Develop and maximize sales with customers by building strong rapport and maintaining professional business relationships.

3. Product Distribution:Ensure efficient distribution of products to customers, optimizing performance.

4. Payment Management:Remind and collect outstanding payments/bills when necessary.

5. Sales Performance Reporting:Generate general reports on sales performance within your portfolio, providing insights to the company.

6. Ad-hoc Duties:Undertake ad-hoc duties as per customer or management requests.

7. Growth Strategies:Develop growth strategies and business acquisition plans to increase the client base, achieving Key Performance Indicators (KPIs).

8. Market Analysis:Identify trends and customer needs, building a short/medium/long-term sales pipeline in accordance with KPIs.

9. Marketing Coordination:Assist in the coordination and implementation of marketing strategies, delegating tasks that align with strategic goals.

10. Relationship Building:Establish strong relationships and collaborate closely with brand owners.

11. Client Onboarding:Onboard new clients using company apps for seamless ordering.

The Team

Managing the administrative matters of the organisation and providing administrative support to the CEO. As part of the role, you will be exposed to all administrative support matters and assisting various departments on management and compliance matters

Job Responsibilities

• Handle all telephone enquiries and calls with professionalism and courtesy, on phone or email
• Assignment of leads from company hotline to respective salesperson in accordance to portal listing records based on ERP system queue
• Coordination of advertisement with relevant advertisement agencies and vendors
• Manage subscriptions and distributions to respective personnel including but not limited to newspaper subscriptions, advertisement agencies
• Coordinate room booking, preparation of meeting and provision of hospitality to guests e.g. serving of drinks to waiting guests
• Ensure proper daily maintenance of office supplies, amenities and replenish stocks on a prompt basis
• Report maintenance issues, e.g. furniture, flooring, fittings, equipment to the relevant party(s)
• Manage incoming and outgoing documents and billing on a timely manner including but not limited to couriers, hotline contracts, name card printing, MediaRing updates, corporate billing on credit card, road tax, insurance group policies
• Coordinate the season parking matters, monthly phone billing contract status, rebates, annual pest control service, group insurance renewal and discount with vendors with proper filing
• Enrolment and maintenance of fingerprint biometric access records for employees
• Manage the attendance maintenance program for book-keeping purposes
• Coordinate despatch and bank cheque schedules whenever necessary
• Coordinate catering, flower, hampers for corporate events on request basis
• Assist office employees with their business travel and accommodation arrangements
• Any other ad-hoc duties as assigned by the Management

Job Requirements

• Candidate must possess at least a GCE O/A Levels or NITEC / Higher NITEC Certification / Diploma
• At least 1 year of working experience in administrative support or relevant field
• Fluent in spoken and written English
• Friendly, independent and self-starters preferred

Boutique international school is looking for an experienced, highly people-centered Administrative Executive, with a proven track record to grow the school's enrolments and to assist the Office Manager in managing day-to-day operations as well as to support the leadership team. Administrative Executive

The Administrative Executive works closely with the CEO, COO, Office Manager and leadership team to ensure the smooth running of daily operations and heads admissions efforts to grow student recruitment and enrolment. The candidate will also work in tandem with the Office Manager and Marketing department to increase brand awareness and take a pro-active approach to identifying business development and marketing opportunities.

Responsibilities:

● Act as first point of contact for any inquiries from prospective families

● Assist Office Manager in daily operations

● Assist Office Manager in maintaining Edutrust Manuals, standard operating procedures and relevant documentation in line with EduTrust requirements

● Provide and manage administrative support needed by the school

● Continually enhance the administrative systems and processes in the school in consultation with the Office Manager, CEO and/or leadership team

● Maintain and keep up to date all student information in school management system and hard copy student admin folders

● Maintain and keep up to date staff information on school management system and NAS

● Basic book-keeping

● Assist in invoicing and issuance of receipts

● Maintain office services by organising office operations and procedures

● Monitor and respond to parent/customer inquiries (during school term and when on holiday at least once per week)

● Assist prospective families in admissions process (start to finish)

● Create reports for submission to management (e.g., monthly staff attendance, admissions figures, etc.)

● Attend to front desk matters

● Maintain cleanliness and aesthetics of front desk, waiting area and admin room

● Maintain and keep up to date files, folders (whether digital or hard copy)

● Maintain or enhance the student administrative and learning support services

● Assist in update staff on changes in routine, events, information relating to students/parents/vendors/other day to day operations

● Liaise with the Quality Assurance Executive to ensure all standard operating policies and Edutrust documentation is accurately prepared and filed

● Maintain and update data for enquiries, applications, tours and events, monitor current school enrolment and potential joiners and leavers and provide monthly and annual data/stats

Qualifications and Skills Requirements:

● Minimum Bachelor’s degree in education/communication & marketing/business administration/HR and/or relevant fields

● Minimum 1 year of experience working in education admissions/sales/marketing

● Understanding of special education is highly desirable

● Experience working in a multi-cultural and international environment

● Excellent customer service skills

● Demonstrated success in student recruitment/sales and marketing

● Excellent communication and interpersonal skills

● Ability to take initiative to drive innovative and collaborative initiatives to contribute to the growth of the school

● Minimum 2-year commitment to the Company
