What will I be doing?

As the Cluster Assistant Paymaster / General Cashier, you will be responsible for performing the following tasks to the highest standards:

• Responsible for the accurate and timely processing of payroll for all team members and casual labours.
• Maintain strict confidentiality at all times of all information related to payroll records.
• Coordinate with the Human Resources team to maintain a complete and accurate database of employee particulars and salary details.
• Ensure proper documentation and approvals are obtained before making any changes to payroll data and employee records.
• Review daily timesheets of all team members and raise queries to supervisors for any discrepancies noted.
• Prepare monthly payroll reports and reconciliation for review by Cluster Paymaster and Cluster Director of Finance.
• Prepare payroll journal entries for posting and updating into accounting records.
• Prepare annual income tax filing for all team members and assist with any income tax queries from team members.
• Responsible for the Hotel’s daily cash collection and to issue, control and maintain all Hotel cash floats in accordance to the policies and procedures.
• Carry out regular collection of cash and daily banking of cash and cheque receipts.
• Maintain proper records of cash receipts and banking transactions.
• Calculate and pay out F&B tips to all eligible cashiers on monthly basis.
• Perform any additional duties as assigned by the Cluster Paymaster as and when required.

• Diploma in Accountancy, or equivalent professional qualifications
• At least 1 years of working experience as Paymaster or other similar position.
• Good knowledge of Singapore labour law and policies
• Flexible with working hours and possess a strong commitment to ensure reporting timelines are met.
• Strong administrative and time management skills
• Professional and able to maintain strict confidentiality of all information related to payroll
• Fluent in both written and spoken English to meet business needs.

Key Responsibilities:

General Administrative Support:

· Perform general clerical duties, including photocopying, faxing, and filing.

· Manage and maintain office supplies inventory.

· Assist in the preparation of reports and documents.

Scheduling and Coordination:

· Coordinate and schedule appointments, meetings, and events.

· Arrange travel accommodations and itineraries for executives.

· Communicate effectively with team members to ensure seamless coordination.

Communication and Correspondence:

· Answer and direct phone calls, taking messages when necessary.

· Draft and edit correspondence, emails, and other documents.

· Act as a liaison between internal teams and external stakeholders.

Data Management:

· Maintain and update databases and filing systems.

· Ensure accurate and timely data entry.

· Assist in the organization and management of company records.

Office Organization:

· Keep the office environment tidy and organized.

· Assist in the setup and coordination of office events.

Qualifications:

· Proven experience as an Administrative Assistant or similar role.

· Proficient in MS Office Suite.

· Attention to detail and problem-solving skills.

· Ability to handle confidential information with discretion.

• Co-ordinate and schedule pick-up with freight forwarders and 3rd party service providers for dispatch of shipments and update Customer Service department with delivery details and documentation
• To perform good receivng, put-away, cycle-count and stock surveillance
• Assist in handling of Dangerous Goods (DG) management
• Pick, and label materials and spares for Operations and customers ‘orders. For outbound shipments or dispatch, to ensure proper and adequate preparation and packaging are performed
• Ensure all shipment documentation are prepared correctly and filed in accordance to the requirements of Singapore Customs and IRAS
• Assist in department administrative work such as documents verification and filing/archiving
• Performing Trade Compliance activities
• Perform any other duties as assigned from time to time by the Company

Other requirements

• GCE ‘N’/ ‘O’ Level with at least 1 year relevant experience or Higher Nitec in Logistics or supply chain management is preferred
• Meticulous with good organizational and administrative skills
• Knowledge of Dangerous Goods handling and management is preferred
• IT savvy
• Good team player, willing to learn and self-motivated
• Able to handle stress during high work volume
• Possess SAP knowledge would be an advantage
