1. Property Portfolio Management

• Prepare strategy formulation to maximise rental and occupancy.

• Manage and evaluate the performance of service providers and contractors for the term contract works, ad-hoc repair, replacement works and upgrading works to ensure that all the works are carried out and completed according to approved budget, contract obligations, specifications, terms and conditions and project.
• Prepare a summary list of term contract services. Monitor the date of term contract expiry and execute the process of contract renewal. Update the summary list of term contract and ensure that agreement is endorsed before the contract expiry date.
• Ensure that suppliers and contractors submit the invoice for payment upon completion of the work. Verify and process the invoices for approval of payment upon receipt from suppliers and contractors.

3. Compliance with Standards and Property Administration

• Ensure the facility process comply with organizational standard and/or government regulations, e.g. property and facility operational or procurement policies observance or statutory facilities codes.
• Prepare and/or review periodic reports for Senior Management.
• Assist in communicating with decision makers and key appointment holders.
• Schedule Property Investment Panel (PIP) meetings, prepare presentation slides, join in the meeting and prepare the minutes.

4. Supervision of Facility Management Executive

• Plan, schedule and assign the work to the Facility Management Executive.
• Lead, train and guide the Facility Management Executive in the day-to-day operation.

5. Budgeting

• Prepare and compare the quotation received from service providers for the preparation of the budget for all the Investment and Ministries properties.
• Lead and prepare the annual maintenance and sinking fund budgets to be approved by relevant stakeholders.
• Monitor and ensure the planning and utilisation of the budget within the Financial Year.
• Monitor the allotted fiscal operating and capital budgets and expenses and ensure they are reasonably utilised.

6. Process Updates and Improvements

• Plan for updates or improvements of policies and procedures or similar reports for management review, revision or endorsements, e.g. electronic procurement submission (KRIS).

7. Any other tasks as assigned by the supervisor.

Job Requirements

• Diploma or Degree in Building/Property/Facilities Management from an established institution or university with at least 6 years of relevant working experience, preferably with supervisory skills.
• Strong spoken and written communication skills are required to collaborate with internal and external stakeholders.

As General Manager, you head the Management Team of the Hollandse Club and are responsible for the daily running of the Club. You will be carrying out the Main Committee’s (MC) policies and directivesand you are the Main Committee’s bridge to the staff. You will report to the MC on the operations and activities as well as on the application of the Hollandse Club’s policies.

The General Manager:

● Initiates and assists design and drives execution of MC-initiatives.

● Overseas the drive to attract new members and revenue creating events.

● Drives the club's branding and public relations together with the Management Team and the MC member responsible for Marketing.

● Ensures cost control systems are in place and monitored.

● Is responsible to effectively manage all partners of the HC.

● Is highly visible to both members, staff, and other stakeholders, listens to their input, feedback and criticism. Ensures optimal member and guest experience by attending to all and resolve complaints whenever required.

● Manages and is responsible for the efficiency and productivity of the daily operations to ensure the business objectives are met.

● Leads, manages, and motivates staff on customer relationship management to cultivate a top-notch international service culture. The General Manager needs to have a respectful vision to guide all HC personnel toward optimal operating results, employee morale and member services.

● Has hire and discharge authority of Hollandse Club personnel, in coordination with the MC.

Requirements:

● Preferably candidates with (tertiary) qualifications in Hospitality Management / Business Management / Business Administration.

● At least 10+ year(s) of proven track record and management experience of operations in (international) clubs and /or hospitality environment.

● Experience in operating in a multi-cultural environment.

● Demonstrated strong leadership and people management skills.

● Advanced Project Management skills with clear examples of success.

Provide logistics support to ensure the smooth operation of events.

4. Manage office and studio facilities:

- Perform inventory and assets tracking periodically.
- Coordinate with suppliers and contractors on event requirement and office supplies.
- Manage studio reservation.
- Maintain school website.

5. Manage arrangement of Associated Board of the Royal Schools of Music (ABRSM) examinations

- Support MSM students and teachers to arrange for accompaniment when required.
- Arrange for pre-examination screening.
- Liaise with ABRSM representative office on examination arrangement.
- Provide data on student enrolment, as required for Management Committee meetings.

Job Requirements

• Minimum Diploma or Degree in Business Administration from an established institution or university with at least 5 years of relevant working experience.
