Position: Admin Assistant
The Warehouse Administrative Assistant provides essential support to the warehouses’ operations by handling administrative tasks, maintaining records, and ensuring smooth communication between different departments. This role is crucial in maintaining an organized and efficient warehouse environment, contributing to the overall success of our client's global luxury trading business.
Responsibilities
· Assist with the daily administrative operations of the global warehouses – Prepare/process shipping documents, invoices, and receipts and maintain accurate records of inventory levels, shipments, and deliveries.
· Enter data into warehouse management systems and other relevant software, Generate and distribute reports on inventory levels, order status, and other metrics, to ensure data accuracy and resolve any discrepancies promptly.
· Coordinate delivery schedules and shipping arrangements with suppliers, customers, and service providers to ensure timely and efficient transportation of goods.
· Ensure that all warehouse documents/records are maintained in organized and up-to-date filing systems and in compliance with audit requirements
· Respond to customer inquiries and provide information regarding order status and inventory availability and address and resolve any issues or concerns related to shipments or deliveries.
· Handle any unexpected delays or issues in shipping and work proactively to find solutions
· Any other tasks, projects and/or confidential matters assigned as and when needed.
Requirements
· High school or Diploma in any relevant field
· Previous experience in an administrative or clerical role, preferably in a warehouse or logistics environment.
· Strong organizational and multitasking skills.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and warehouse management software.
· Excellent communication and interpersonal skills.
· Attention to detail and a high degree of accuracy.
· Ideally 2 - 3 years of relevant working experience
Work Arrangement
· Working hours: Mondays to Fridays from 9 am to 6 pm with 1 hour lunch break
· Work from office, no hybrid due to the office processing shipments (inbound and outbound)
