As an Assistant Project Manager, your role is multifaceted. You will collaborate on project planning, coordinating schedules and drafting site plans. In project execution, you enforce initiatives, ensure safety compliance, conduct site checks, and lead technicians. Administratively, you assist the Project Manager in maintaining client relationships, document correspondence, and support testing and inspection processes. Your contribution is vital to the efficient coordination and execution of projects.

Job Description

1. Project Planning:

• Ÿ Coordinate with Project Manager in planning the project schedule
• Ÿ Draft site plans when necessary.

2. Project Execution:

• ŸImplement and enforce new initiatives and disciplinary practices within the department.
• Strictly enforce all safety and legal requirements.
• Conduct frequent site checks to ensure that project progress is strictly ahead of schedule.
• Lead technicians to complete project according to engineers’ and project managers’ plans.

3. Administrative Assistance:

• Assist Project Manager to correspond with clients to maintain favourable relationships.
• Document all correspondences in a detailed manner.
• Assist Project manager to perform testing and inspection with clients as witnesses to minimised conflicts.
• Assist Project manager to attend meetings with the Plumber/ Main-contractor or Consultant.

Key Objectives:

The incumbent is responsible for managing the schedules and communications of key personnel in the Company. They prioritize emails, calls and arrange meetings and business events.

Main Activities:

(main day-to-day activities and the outputs of the role the individual is expected to deliver)

Responsibilities

• Manage phone calls and correspondence (email, letters, packages, etc.)
• Maintaining directory list (contact details)
• Assist in Company engagement activities, lunch, events and coordination
• Manage agendas/travel arrangements/travel insurance/appointments for the Management
• Inform various department of notice and/or meeting schedule via calendar invites
• Manage correspondences and reply on behalf for the Management
• Plan, coordinate and ensure all meetings schedule notifications are up to date and follow up documents
• Attending Management meetings and minutes to follow up
• Assist Business Development on prior to Tenancy Agreement correspondence
• Manage leasing, contracts, renovation and coordination with Management and Operation team
• Follow up on all tenancy agreements (current, renewal, new)
• Liaise with outlets management (Landlord) on outstanding documents inclusive of repair maintenance

Qualifications / Experience

(Academic qualifications as well as experience)

• Diploma or relevant certifications in administration / secretarial studies
• Min. 2 years of relevant experience
• Good coordination skills
• Excellent organization and communication skills
• Ability to work independently
• Experience with Zoom, Outlook, Leasing Coordination, Minutes Taking and Calendar Management
