• Represent the program or function as the key contact and subject matter expert within the department, unit or school. Commit resources and provide information and/or training. May also represent the program or function to external/internal stakeholders and constituencies.
• Act as the lead administrator in the planning, scheduling and delivery of a number of concurrent major internship events and activities.
• Utilizes a variety of technology platforms and face-to-face engagement, communicate with prospective students from the 6 autonomous universities for internship and job search assistance.
• Assists Dato Kho Hui Meng Career Centre (DKHMCC), Overseas Centre Jakarta (OCJ), and employers in posting jobs, coordinating campus interviews and other promotions on internships, to assisting in businesss in-house learning and development needs.
• Utilizes office software to keep notes of student advising appointments and walk-ins.
• Organize and/or participate in outreach activities that may include developing communications and training, planning/promoting events and/or conferences. Attends off-campus meetings and events as required.
• Independently implement, administer and evaluate day-to-day activities of the unit, function or program by identifying and executing tasks and objectives, making recommendations that impact policies and programs, and assigning resources to achieve the goals of the program.
• Cultivate, coordinate, and manage internships and relationships with the federal government, other partner organisations, the external SMU community, and university liaisons.
• Track and monitor student internship applications and security clearances across an array of government agencies, Singapore, Jakarta and other offices in the public and private sector.
• Advise students on a range of experiential learning components of program, including but not limited to, internship preparation and placement process, internship goals and outcomes.
• Organising the resume writing / mock interview workshops, admin brief, pre-departure brief, pre-trip courses and etc.
• Analyze and develop report requirements, portals, and student communications.
• Engage in critical analysis of student and program concerns to resolve issues which may span multiple areas, using advanced technical and professional knowledge.
• Collect and analyze data, create reports, review and explain trends; formulate and evaluate alternative solutions and/or recommendations to achieve the goals of the program or function.
• Arrange and coordinate flight bookings, visa applications, residences and other onsite supports.
• Maintains the internships database with up-to-date employer contacts.
• Maintain employers contacts database, nurturing client relationships to convert into potential custom clients.
• Assists Head of Department and Market Director to assess customized training opportunities specifically for targeted majors and industries.
• Collate sponsored internships reports submission to send out internship evaluation to employers.
• Compilation of receipts, invoices, claims, related reports for auditing, before submitting for Global Ready Talent (GRT) grant disbursement with Enterprise Singapore.
• Performs other duties as assigned.
• Deputise for another Programme Management colleague during her absence as required.
• Contribute to the general morale and professionalism of the SMU-ExD team.

• Bachelors degree in related field, along with two to three years of relevant experience.
• More than 5 years substantial programme or project management experience or equivalent combination of education and work experience, preferably in hospitality, events or higher education.
• Excellent team working skills with a flexible can-do approach, self-motivation, resilience and a willingness to adapt to the changing needs and priorities in Executive Development and across SMU.
• A systematic, thorough, and highly-organised approach to work with the ability to work in tight deadlines.
• Exceptional communication, organizational, and time management skills, tolerance for ambiguity and the handling of multiple tasks essential.
• The ability to demonstrate a personable and diplomatic approach in dealing with a diverse range of people
• Ability to exercise sound judgment and creative problem solving skills in making decisions. Acting agile towards programmes delivery plan changes.
• Strong administrator carrying out high levels of accuracy and attention to detail when inputting data and providing information.
• Good IT skills including the use of the Microsoft Office Suite, particularly Word and Excel, Powerpoint and the ability to learn new systems.
• Ability to effectively network within the local environment to secure internship and job placement opportunities for students
• Ability to work effectively with students from diverse socio-economic backgrounds
• Ability to work on occasional weekends, weekdays evening and public holidays.
• Travel for overseas delivery, whenever required.
