Job Purpose
Manages all operations of human resource function to ensure it is run seamlessly with inter departments, and providing an excellent HR service to employees in enabling our employee’s productivity and experience.
Key Accountabilities
1. Support employee lifecycle processing, onboarding, administration of all Leave Type, employee data management.
2. Develops, implements and validates processes and systems to enhance the compliance and accuracy of all aspects of the employee data.
3. Maintenance of accurate reporting of HR activities and ad-hoc reporting.
4. Thorough analysis, proactively identifies and implements opportunities to improve employee’s experience.
5. Leads internal and cross-functional initiatives related to process and quality improvement.
6. Prompt investigation of escalated cases to bring to resolution.
Policy and Practices
1. Maintains comprehensive knowledge of benefits programs, plans, policies and processes
2. Aligns HR policies and procedures with Group policies and guidelines and complies with statutory regulations (e.g. Employment Act, CPF Act)
3. Effectively manage the HR administration team which administer the system of records and other associated tasks as per HR processes.
4. Plan and prioritize workload to ensure key HR business processes have the resource to provide the agreed service levels.
5. Develop efficient and effective HR business processes that meet the needs of the business
6. Provide high quality, consistent HR guidance, support and resolution to managers and employees with focus on employee-centric service.
7. Develop SOPs for the processes and live document on commonly asked questions for service advisors.
8. Identify employee-impacting issues and implement solutions process improvements to increase employee’s satisfaction.
9. Lead and participate in cross-functional process improvement initiatives.
HR Operations
10. Prepare on-boarding and off-boarding processes.
11. Maintain up to date employee’s P-files.
12. Prepare letters requested by employees (visa, employment of certificate, APEC) upon employee’s requests.
13. Handle WICA reporting, all Work Pass related matters (Work Permit, S-Pass & EP and relevant Dependent Passes)
14. Responsible for creation and maintenance of personal records in the system of records.
15. Harmonization of processes, policies and templates.
16. Manage the HR Services Case Management and maintain HR Service level agreement (SLA)
17. Maintains in-depth knowledge of legal requirements related to day to day management of employees
18. Prepares monthly / ad-hoc HR reports for management meetings
19. Liaise with auditor on all HR data and HR Services processes
20. Manages HR Process Improvement Projects or assignments
Job Requirements
- 3 years of relevant working experience in managing HR Shared Services preferred
- Bachelor’ Degree in any discipline (Preferably in Human Resource Management)
- Manages a small team.
- Ability to communicate well both with stakeholders and employees.
- Attention to details, self-driven, resilient, hands-on problem solver, and multi-tasker with sound analytical and problem-solving skills.
- Strong team player with good interpersonal skills.
- Able to work well under pressure and tight timelines.
- Good working knowledge of local regulations e.g. Employment Act, CPF Act & tax regulations
- Good HR knowledge and experience in HR Services, and system.
- Experience in SAP will be an added advantage
- Proficient in Microsoft Office applications, particularly in MS Excel
