Working days & hour: 5 days, Mon- Thur (9am-5pm), Fri (8am-4:30pm)

Location: Gul Drive (west area)

Transportation provided at Joo Koon MRT
Morning : 7:40am
Evening (Mon - Thurs) : 545pm & 6:45pm
Evening (Fri): 4.45pm & 6.15pm

Key Responsibilities:

• Assist the Head of Human Resource in all daily tasks and matters in the Human Resource Department.

• Manage full spectrum of HR functions, including recruitment and orientation, training, payroll and IR8A submission, work pass and Man Year Entitlement application, dormitory arrangement, incident reporting, medical, insurance and work injury claims, employee profiles and leave management, overseas deployment, promotions and resignations.

• Coordinate with Operations Department in project executions, including fulfilling manpower requirements, site registrations, inductions, swab test registration.

• Implement HR-related programmes and policies, apply for HR-related certifications and grants, establish internships and industrial attachments with educational institutions, participate in recruitment fairs and organise Company events.

• Perform asset, inventory and financial reconciliation with Accounts Department and generate monthly reports for Management.

• Use HR and payroll software as well as Enterprise Resource Planning system to complete daily tasks and assist in the implementation and improvements of the systems.

• Ensure procedures, products and services rendered comply to Company policies, government regulations and ISO standards.

• Maintain historical records for annual accounting and ISO audits.

• Undertake additional tasks and responsibilities when required or as instructed.

• Experience with MOM EPOL/WPOL, HR and/or payroll software.

• Oversee the allocation and maintenance of lockers in locker rooms.
• Manage access cards and maintain the access control system.
• Schedule and coordinate interviews between candidates and relevant stakeholders.
• Prepare and review attendance reports and verify timesheets for temporary staff.
• Arrange courier services, mail, and document dispatch.
• Process employee leave applications and maintain accurate records.
• Coordinate daily staff meal orders with vendors and organize buffet catering for events.
• Monitor pantry supplies and vending machine stocks, ensuring timely replenishment.
• Source and purchase office supplies, including stationery.
• Submit employee claims and benefits via the company system.
• Handle travel arrangements for overseas visitors, including flights, accommodations, and local transport.
• Actively contribute as a member of the welfare and safety committees.
• Update and maintain notice board announcements.
• Support employee welfare activities and initiatives.
• Provide HR and administrative support across all levels of the organization.
• Undertake additional tasks as assigned by management.
