Job Description

• Manage and maintain day-to-day operations of residential property
• Ensure effective and efficient management of the common areas through routine checks
• Assist the team to support daily operations
• Conduct on-site checks and management of development works by appointed contractors to ensure works are carried out to specifications and completed on schedule
• Engage service providers through a proper approval system; manage contracts and performance of service providers
• Follow up with service providers on submission of monthly maintenance schedule, quotations, claims and invoicing
• Convene and attend all meetings of the Developer and/or with the Council of the Management Corporation Strata Title (MCST)
• Prepare minutes and reports for meetings
• Obtain quotations for repair and maintenance services
• Attend to residents’ feedback professionally to ensure timely and prompt responses
• Prepare and submit an annual budget and recommend rates of Maintenance Fund / Sinking Fund contributions
• Ensure compliance with BMSMA, relevant laws, government rules and regulations and the company’s policies
• Process and assist in putting up paper for extraordinary works when necessary

Requirement

• Higher NITEC in Facilities Management and/or Diploma in Integrated Facility Management, Real Estate Business, Hotel & Leisure Facilities Management, or equivalent qualifications
• For Officers: At least 1 year of relevant working experience in strata-titled residential property management
• For Executives: At least 3 years of relevant working experience in strata-titled residential property management
• Team player with good communication skills
• Able to adapt to a flexible working environment
• Knowledge of Building Maintenance & Strata Management Act (BMSMA) will be an added advantage
• Responsibilities

The Safety Officer duties and responsibilities are as follows:

• Ensure all Statutory act & regulations, company safety rules & regulations and code of practice are implemented and complied by all staff.
• Review and recommend necessary changes regularly to the safety management system to keep it updated with the applicable local legislation.
• Conduct safety training related to the activity based on Safe Work Procedure / Risk Assessment.
• Manage Safety Audits on site.
• Review all risk assessments and risk management internally and externally.
• Conduct monthly WSH Committee Meeting and put up safety reports.
• Conduct monthly Mass Toolbox Meeting and participate in the Daily Toolbox Meeting.
• Enforce house rules on all stake holders and take action when necessary for noncompliance.
• Work closely with the project team to eliminate security, safety, health and environment hazards.
• Ensure legal compliance to all statutory safety and environmental regulations and timely submission of mandatory documents.
• Liaise with relevant authorities on matters pertaining to occupational safety and health.
• Advice Project Director/Manager in occupational safety and health.
• Inspection of site to ensure all facilities and equipment relevant to the maintenance of environmental health is in proper working condition.
• Manage incidents' investigations, recommend corrective actions and follow-up on the implementations and effectiveness of actions taken
• Review and maintain site's environmental, health and safety records
• Ensure PTW supporting documents are valid and in place for operational performance
• Other duties as assigned by the Departmental Manager.

Requirements:

• Registered WSHO and ECO
• Min 5 years of HDB/Commercial project experience required
• Minimum Diploma in Engineering, Occupational Safety, Occupational Health or other relevant discipline

Responsibilities :

• Updating Accounts Payable and Receivable
• Processing Invoices and Payments

• Checking and processing of petty cash and other claims
• Keeping track and settlement of advance money given to staff
• Receive walk in donors, collect money and issue receipts.
• Assist finance officer and act as a backup for:
  > Manage GIRO applications, submission and returns.
  > Supervise the receipts issuance by other department staff.
  > Collect and safe keep cash and cheques from various parties and depositing into bank.
  > Handle petty cash
  > Prepare payment vouchers and cheques.
  > Receive donations and prepare commission payment to Telemarketer, Fundraiser
  > Counting donations from donation boxes.
  > Depositing cash & cheques collected into bank.
  > Receive appeal letters – open letters, count cash, arrange cheques, deposit, and issue receipts.
• Any other duties assigned from time to time

Requirements/Qualifications :

• Minimum qualification Certificate/Diploma in Accounting/Finance or equivalent
• 1 to 2 years relevant working experience
• Knowledge in QuickBooks software is an advantage
• Fast learner and IT savvy
