Job Description
Duties and Responsibilities
· Carry out a comprehensive range of coordination and administrative duties, which includes providing secretarial support to management, performing data entry, and organizing document filing, among other tasks.
· Manage and maintain all documentation and filing processes, ensuring proper handling of correspondence and resolving any administrative-related issues as they arise.
· Coordinate and arrange board and executive meetings, as well as provide assistance in organizing charity events.
· Take meeting minutes in chinese and distribute them to the board of directors for action.
· Assume responsibility for generating reports, presentation slides, spreadsheets, and other relevant materials as required.
· Accountable for maintaining significant fundraising database records concerning the organization's foundations
· Review, update, and maintain the organization's compliance policies & procedures, the employee handbook, and conduct internal controls to ensure adherence to statutory requirements.
· Ensures the organization’s policy is in accordance with the Personal Data Protection Act and codes of practice.
· Perform any other ad-hoc duties assigned.
Requirements
Skills and Knowledge
· A minimum of 2 years of experience in a related field is required for this position.
· Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
· Possesses a meticulous and detail-oriented mindset.
· Demonstrated ability to handle confidential and sensitive information discreetly.
· Capable of interacting effectively with personnel at different levels.
· Proficient in Mandarin (both oral and written) to ensure work duties could be fulfilled and to communicate with Mandarin speaking patients & suppliers, proficient in English is a plus point.

Educational Qualifications
