· Provide office administrative and operational support including IT related matters. This also includes the maintenance and upgrade of the existing systems when required.
· To assist in overseeing and coordinating the repair and servicing of office equipment, facilities, etc. (e.g. printers, copier machines).
· To handle the set-up of new desktops / laptops and to create the necessary ID and password for access.
· Responsible for contracts administration of new and existing vendors, customers and partners.
· To assist in managing all the various insurance renewals, vehicle road tax renewals, government body licensing and permit applications and submissions required, and to ensure that all the necessary license and permits are approved, renewed and updated accordingly.
· To assist in the tenancy renewals and stamp duty for the company’s various businesses. (I.e. Alcohol license, Building Permits, etc.)
· To maintain audit schedules (e.g. fixed assets and master lease file).
· To assist in the compilation of sales reports and in the administrative reconciliation for sales.
· To assist the stock taking of inventory and procurement of office materials, stationary and equipment.
· To maintain an organized filing system (both electronic and physical documents).
· Responsible for the administration the office cash float, including cash counting for the various entities.
· To assist in the arrangement of courier service (when required).
· To assist in answering incoming calls and to handle queries with suppliers and staff.
· To provide support to the Accounts department. This includes assisting in vendor and customer code creation in ERP, e-invoicing to customers and contacting customers for receivables.
· To assist in stock take when necessary.
· Maintain and create new customers, suppliers and general ledger accounts in accounting system.
· Maintain accounting files and records.
· Provide assistance to all departments for supplier and invoice inquiries.
· Any other appropriate duties and responsibilities as assigned.
