Job Description:

As a Building Senior Executive / Assistant Manager, you will be a key player in ensuring the optimal functioning and maintenance of assigned properties. Your responsibilities will encompass a range of tasks, from managing service providers and overseeing day-to-day operations to fostering positive tenant relationships and contributing to budgetary planning.

Key Responsibilities:

1. Contractor and Service Provider Management

Efficiently manage service providers and contractors for maintenance, operations, and renovation projects, ensuring compliance with statutory requirements and codes of practice.

2. Operations and Maintenance Oversight

Handle the day-to-day operations and maintenance of assigned buildings/properties, implementing maintenance programmes to guarantee their proper upkeep.

3. Procurement Management

· Draft detailed work specifications and initiate procurement processes, including inviting quotations and tenders when necessary.

· Source, evaluate quotations, and obtain necessary approvals for repair, replacement, and improvement works.

4. Record Keeping and Documentation

Maintain comprehensive and updated file records for term contracts, service reports, inspection reports, and other pertinent documentation.

5. Financial Collaboration

Work closely with the Finance department on payment matters and actively contribute to the preparation of property annual budgets and forecasts.

6. Tenant Relations

· Attend to tenants' feedback and requests promptly, cultivating a positive and responsive relationship.

· Promote and maintain strong relationships with tenants, vendors, and all stakeholders.

7. Reporting

Prepare Monthly Management Reports that provide insights into property-related activities.

8. Team Management

Manage and supervise technicians assigned to the building(s), ensuring a cohesive and efficient team.

Requirements:

· Diploma in Facilities Management / Building Services / Mechanical / Electrical Engineering or relevant discipline.

· Minimum 3 years of relevant working experience.

· Knowledgeable in building operations, IT systems, and maintenance works, as well as familiar with relevant authorities’ requirements and current codes of practice.

· Strong team player with excellent interpersonal skills and effective communication abilities.

· Willingness to be hands-on and collaborative when resolving issues.

As the Assistant/Security Manager, you will assist in managing the Security department of the hotel to ensure completion and compliance of all Company and hotel policies and procedures and government regulation standards. Provide a safe and secure hotel environment for our guests and colleagues.

Your day to day

PEOPLE

• Recommend and/or initiate salary, disciplinary, or other staffing-human resources related actions in accordance with Company rules and policies.
• Alert management of potentially serious issues.
• Promote teamwork and quality service through daily communication and coordination with other departments. Key departmental contacts include all hotel staff, Corporate Hotel Management Group and Corporate Risk Management and Legal department.
• May interact with outside contacts:
• Guests – to ensure their total satisfaction
• Regulatory agencies – regarding safety and compliance matters
• Other contacts as needed (Professional organizations, community groups, local media)

FINANCIAL RETURNS

• Assist with establishing documentation and confidential reporting systems to ensure that appropriate investigation documentation and results are available for current litigation/settlement and future reference.
• Assist with establishing necessary and pertinent incident reports or information to police and fire agencies involving investigations and to the Corporate Legal department, Claims Management department, insurance agencies and outside attorneys to assist in case evaluation, settlement or defense involving lawsuits against the Company.
• Assist with controlling labor costs and expenses within the Security department. Participate in the preparation of the annual departmental operating budget and financial plans which support the overall objectives of the hotel.

GUEST EXPERIENCE

• Assist with ensuring that all loss and safety incidents involving guests, employees and/or hotel loss and safety exposure are thoroughly investigated.
• Assist with establishing procedures to prevent/minimize the loss from theft and other safety risk or litigation against the hotel.
• Assist with maintaining audit reports and records on all loss and safety incidents and implement system or procedure enhancement from information learned during the investigations.

RESPONSIBLE BUSINESS

• Assist with managing the daily activities of the security department.
• Plan and organize work and schedule employees to ensure proper coverage.
• Communicate and enforce policies and procedures.
• Assist with determining the security and safety requirements necessary to ensure that hotel property, employees and guests are protected against theft, crime and threats on a 24 hour per day basis.
• Assist with inspecting employee lockers and bags, parcels, and knapsacks when employees are entering and leaving the hotel and in response to suspicions of misconduct.
• Assist with training/educating employees on current safety issues to ensure compliance with all Company loss control policies and current security and safety regulations.
• Inform management of hazardous situations, emergencies or threats to the security of guests, employees or hotel assets.
• Schedule preventative maintenance and repairs to Security equipment as needed and ensure that equipment is prepared and operational for the following day’s work.
• Assist with arranging and providing special security services for special events and executives as requested.
• Perform other duties as assigned
