**Job Summary**:
We are seeking a detail-oriented and efficient Administrative Assistant to help manage the daily operations of the office and provide administrative support. This role requires excellent communication, organizational, and time management skills to ensure the smooth running of the office and to support various departments.
**Key Responsibilities**:
1. **Office Operations Management**:
- Oversee the day-to-day office operations, including ordering office supplies and coordinating equipment maintenance.
- Handle incoming mail, phone calls, and emails, responding promptly and directing them to the appropriate departments or individuals.
- Greet visitors and prepare meeting rooms and facilities for scheduled meetings.
2. **Document Management and Processing**:
- Organize and maintain company records, ensuring accuracy and confidentiality.
- Assist in drafting, editing, and proofreading various documents, reports, and emails.
3. **Scheduling and Meeting Coordination**:
- Assist with scheduling internal and external meetings, preparing meeting rooms, and ensuring the proper functioning of meeting equipment.
- Manage calendars, appointments, and coordinate meetings for company executives and teams.
4. **Administrative Support**:
- Provide support for company administrative matters, including travel arrangements, reimbursement processes, and other office-related tasks.
- Assist in organizing company events and team-building activities to ensure smooth execution.
5. **Other Duties**:
- Complete other tasks assigned by supervisors and provide general administrative support to all departments.
**Job Requirements**:
- **Education**: Diploma or higher, preferably in Business Administration or a related field.
- **Experience**: 1-3 years of experience as an Administrative Assistant or in a related role is preferred.
- **Skills**:
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.).
- Excellent written and verbal communication skills.
- Ability to maintain a high level of confidentiality and professionalism.
**Preferred Qualifications**:
- Proficiency in multiple languages (e.g., English, Mandarin) is a plus.
- Experience in event planning or team coordination.
**Work Hours**: Monday to Friday, 9:00 AM - 6:00 PM (subject to company needs)
**Salary**: Negotiable, based on experience
