Duties for the director of administration will include managing administrative staff, guiding operating methods, disbursing funds to departments, monitoring budgets, improving information systems, overseeing human resources requirements, updating senior executives, analyzing financial data, and developing operating procedures and policies. Your superior organizational skills and strategic planning will assist our organization in generating positive revenue growth, harmonizing operations, improving employee performance, and enhancing our business model.

Responsibilities include:

Talent Acquisition: Managing the end-to-end recruitment process, from job posting and candidate sourcing to conducting interviews and facilitating the onboarding process.

Events: Organise and coordinate company programs and events (e.g. team bonding activities, company get-togethers)

Employee Relations: Serving as a point of contact for employees, addressing concerns, and fostering a positive workplace culture.

HR Administration: Maintaining HR records, processing documentation, and ensuring compliance with relevant laws and regulations.

Performance Management: Assisting in the development and implementation of performance appraisal processes and providing guidance on performance improvement plans.

Payroll: Managing the payroll process

Compensation and Benefits Administration: Managing employee benefits programs, including health insurance, and other perks.

HR Policies: Developing, updating, and communicating HR policies and procedures to ensure compliance and consistency across the organization.

Accounting: Assist in finance and accounting functions including AP, general ledger, cash management, operating budgeting, auditing and financial reporting, and the preparation of management profit and loss review and slides

Main Job Tasks & Responsibilities

1) Lead and spearhead the operation and execution of project from inception development Phase to manufacturing start up to site installation to completion of project.

2) Lead the project and facilitate coordination with client, architect, consultant and NSC.

3) Monitor the site progress with site manager/coordinator/supervisor

4) Develop project schedule

5) Attend site meeting or progress meeting with client/architect/designer/consultant together with site project team.

6) Handles all correspondences/documentation and prepare reports(emails, site progress report weekly update project schedule, etc.)

7) Monitor and manage approved project budget by management and provide value engineering to work scope and materials

8. Manage and resolve design and technical issues with site manager/coordinator/supervisor/Factory manager.

9) Plan and schedule project timelines

10) Implement and manage project changes and interventions to achieve project outputs

11) Provide direction and support to project team

12) Quality assurance

13) Constantly monitor and report on progress of the project to management

14) Present reports defining project progress, problems and solutions (submit weekly site progress report to management)

15) Monitor and manage rectification works.

16) To establish progressive and finalized final claim to clients for each completed projects

17) To participate in ad-hoc projects and other duties when required

18) To evaluate and approve sub-contractors/suppliers claim and recommend appropriate payments

19) Attend company's weekly and fortnightly meetings

Requirements:

1) Experience in ID projects
2) Knowledge of both theoretical and practical aspects of architectural, building and mechanical and electrical works
3) Proven experience in managing site work and managing a project team
4) Proven experience in people management and problem solving skills

5) Able to work with long hours, weekend and public holiday
