• Assist in sending acknowledgment letters and receipts.
• Extend Medical Report/Medical Records deadlines as needed.
• Respond to external queries about Medical Report applications.
• Sort incoming mails and faxes.
• Receive documentation from staff or Courier Services.
• Manage returned cases from departments and clinics.
• Coordinate appointments for Workman Compensation/Specialist Medical Report/Objection.
• Manage the MRO hotline and respond to queries.
• Follow up on AM/PM process and close Records requests.
• Process Inter-hospital loan requests.
• Tag internal/external emails in a shared system.
• Assist Executives with ad hoc tasks.

Requirements:

• Diploma in Business or similar.
• 1-3 years of administration experience.

About the role

Reporting

• Manage weekly and monthly sales reporting to internal teams, including SKU, SEA Sales Report, NPD, and Stock on Hand (SOH) reports.
• Track sales performance for sales team against targets on a weekly basis.
• Tabulate and update SOH to identify potential stock-outs for sales orders.
• Collect and summarize competitor reports from the sales team on a monthly basis.
• Perform market research and analyze marketing-related reports as required.
• Assist in preparing global and regional meeting decks and ad-hoc global reporting.
• Update the monthly CRM report for all 3 markets based on the provided template.
• Consolidate monthly and year-to-date marketing spend for all 3 markets.

Trade Marketing/Retail

• Track the sales performance and rostering of 2 Singapore-based Brand Ambassadors.
• Coordinate with all suppliers for Singapore trade events and retail seminars.
• Submit new launch information to retailer portals in a timely manner to ensure product readiness.
• Plan and consolidate trade and promotional event (including masterclasses) templates for all 3 markets.
• Consolidate post-event reports for trade and promotional events (including masterclasses) to be submitted to the team.
• Own and coordinate 2 Sephora Press Days.
• Coordinate the dissemination of all materials (deluxe, TOA, collaterals) to stores for Singapore trade events.

Administrative

• Raise purchase orders in NetSuite and update the retail staffing/marketing OPEX live tracker.
• Coordinate major meetings.
• Manage office administrative tasks such as repairs, maintenance, IT support, and supplies.
• Assist with team activities.
• Coordinate quarterly allowance for office staff and 2 Singapore-based Brand Ambassadors.

Who you will work with

• Reporting to the Head of Commercial SEA and Head of Marketing SEA

Responsibilities:

• Assist in scheduling of future appointments
• Registration of patients
• Assisting the doctors and nurses in basic medical care if needed
• Data entry of patient’s particulars into the hospital system
• Handling phone calls and enquires and providing information
• Other ad hoc duties as assigned

• Min Nitec and above
