General Administration & Payroll Management

• Typing of Letter of Appointment and other personnel letters for assigned projects/divisions.

• Maintain complete and updated employee records relating to remuneration.

• Ensure accuracy of HR data for monthly payroll processing.

• Perform bi-monthly payroll processing for assigned projects/divisions.

• Support a full spectrum of payroll function including bonus, ad-hoc pay and other allowances on a monthly basis.

• Process staff claims, IR8A and other tax related filings.

• Maintain proper filing and documentation of all relevant documents (payroll advice, reports and correspondences) pertaining to payroll.

• Handle and resolve queries on payroll matters.

Requirements

• Diploma in Human Resource Management, Administrative or similar.

• Minimum 2 years of experience in related functions.

• Good communication skills (written and oral).

• Pro-active manner, willing to offer new suggestions and share.

• Proficient in Microsoft Office/Excel with an eye for details.

Responsibilities:

· Design and production of marketing collaterals.

· Video Editing

· Handle various aspects of Marketing for B2B and B2C sectors.

· Coordinate and execute marketing campaigns/events across various channels.

· Maintain and update website content.

· Undertaking daily administrative tasks pertaining to marketing and loyalty program.

Requirements:

· Minimum Diploma in marketing/Graphic Design/Visual communication

· Highly proficient in Adobe Creative Suite/In-design, especially Illustrator

and photoshop.

· Acceptable command of written and spoken English

· An independent worker who works well in a team

· PC proficient and well versed in MS Windows office applications.

· Able to multi-task and meet deadlines.

· Basic photography skills

• ASSIST DELIVERY DRIVER TO CHECK & LOAD GOODS UNTO VAN OR TRUCK.

• STACKING INCOMING GOODS ONTO PALLETS AND TRANSPORTING THEM TO THE DESIGNATED SHELF LOCATION.

• REPACKING OF BLISTER PACKS, BUNDLE ND ETC.

• OTHER DUTIES WHICH MAY BE ASSIGNED FROM TIME TO TIME BY THE SUPERIOR.

II. Major Functions:

We are currently seeking a dedicated part-time Operations Executive to join our team, with a primary focus on managing our Know Your Donor (KYD) process. This role involves conducting thorough Anti-Money Laundering (AML) and Anti-Terrorist Financing (ATF) checks, documenting outcomes, and ensuring all donor data is accurately inputted into our Customer Relationship Management (CRM) system as per the directives of the line manager. Reporting directly to the Senior Database Manager, this position plays a crucial role in maintaining the integrity and legality of our fundraising efforts.

III. Major Duties and Responsibilities:

· Know Your Donor (KYD) Process Management: Conduct detailed Anti-Money Laundering (AML) and Countering Terrorism Financing (CTF) checks on potential donors and vendors to ensure compliance with legal standards and organizational policies.

· Documentation and Reporting: Accurately document the outcomes of all checks and assessments. Prepare and submit detailed reports on donor verification activities to the Senior Database Manager.

· Data Management: Input and update donor information in the Customer Relationship Management (CRM) system as required, ensuring data integrity and accuracy.

· Escalation of Issues: Promptly escalate any red flags, suspicious activities, or doubts to senior managers for further investigation and resolution.

· Compliance and Training: Stay updated on relevant compliance regulations and participate in training as required to enhance job performance and compliance understanding.

IV. Profile:

Required Qualifications and Competencies

· Proven experience in managing customers or donors and working with business teams.

· Good understanding of compliance laws and regulations.

· Excellent attention to detail and the ability to manage sensitive information confidentially.

· Experience in using CRM systems and data management tools will be an advantage.

· Ability to work independently and as part of a team with maturity to manage challenging situations.

· An interest in conservation.

Working Conditions

Reporting to the Finance Manager. He/She is responsible for the accounting and bookkeeping. This role requires a proactive, good attitude, responsible and able to work independently with minimum supervision. He/She has good organizational and communication skills and timeliness in meeting deadlines.

Qualifications & Requirements

1. Degree/Diploma in Accounting or Finance with minimum 2-3 years of accounting experience.

2. Proficient in English and Mandarin.

3. Proficient in Microsoft Office including Excel, PowerPoints, and Words.

4. Good interpersonal analytical skills and meticulous.
