Working Time: Monday to Friday, 8.30am – 6pm
Working Location: Haw Par Villa (Nearest MRT)
Salary: $2000 - $2500

Job Duties:

• Dealing with enquiries from students and the general public via telephone, voicemail, fax, email and in person in a timely and professional manner
• Providing appropriate responses, services or referrals and reporting of enquiries to relevant staff where appropriate
• Provide accurate information and assistance to all stakeholders
• Assist with the processing of correspondence in a timely manner as required
• Contribute to the most effective and efficient management of resources by maintaining appropriate manual and computerised records and data bases i.e. electronic filing system
• Maintain stationery supplies and office inventory including ordering and reconciliation of accounts
• Manage freight, courier deliveries and reconciliation of accounts for these activities
• Collection and postage of mail
• Manage season parking for staff and reconciliation of accounts for these activities
• Organise office events and catering for office functions and meetings as required
• Be responsible for staff amenities i.e. Board Room, Pantry etc.
• Provide word processing and data entry support
• Assist with processing all student receipts
• Other General Duties as required

Job Requirements:

• With Diploma in Business Administration / relevant discipline
• With relevant customer service experience is added advantage
• Proficiency in Microsoft Office Suite skills i.e. Word, Excel, PowerPoint, Outlook

Job Description

• Participate in project design meetings and propose improvements if necessary

• Evaluate potential problems and technical hitches and develop solutions

• Plan and manage team goals, project schedules and new information

• Supervise current projects and coordinate all team members to keep workflow on track

• Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored

• Assist in negotiation of sub-contractors packages and preparation of sub-contractor or supplier agreement letters

• Prepare contract documents for control and implementation of contract administration and reviews commercial aspects of contract and agreement with clients & sub-contractors

• Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails

• Communicate with clients to identify and define project requirements, scope and objectives

• Adhere to budget by monitoring expenses and implementing cost-saving measures

• Other ad-hoc duties as per assigned.

Requirements

· Possess excellent interpersonal skills and communication skills and a leader to influence

· Efficient, Good Analytical Skills and Able to work independently

· Diploma/Degree/Master in Quantity Surveying/Construction Management or equivalent, recognized universities under the BCA , Possess quantity surveying skills is a plus

· Experience in a marine construction company is favourable

· Proficient in Microsoft Office, MS Project and AutoCad

MAIN FUNCTIONS
Organizes and supports activities for a program, department or initiative.

Performs administrative tasks in support of effort.

Ensures coordination of activities across departments and or individuals.

Provides general meeting support and schedule coordination.

Minimal work direction needed, highly skilled and knowledgeable to the position.

Can potentially supervise others, is expert in the field and have extensive experience in this area of work.
Seeking all arounder - mixture of administrative support, small project management, and other executive support (calendar management, documentation collection, etc)

SKILLS AND QUALIFICATIONS
Excellent written and verbal communication skills

• Help in the preparation of sales quotations and monitor their status through follow-up. (training will be provided).
• Support in updating sales opportunities within sales pipeline reports utilizing cloud software.
• Coordinate with suppliers and customers to ensure timely completion of each sales order.
• In charge of order processing, purchasing, invoicing, and coordinate with customers on delivery schedule.
• Coordinate with customers regarding delivery schedules and provide updates on delivery status.

Requirements:

• GCE O level and above
• At least 1 year of relevant working experience.
• Proficient in MS office (Excel, Word, Outlook).
