Key Responsibilities

• Manage day-to-day office operations, including maintaining office supplies, coordinating office maintenance, and ensuring a clean and organized work environment
• Organize and manage appointments, meetings, and conference calls for executives and team members
• Handle incoming and outgoing correspondence, including emails, phone calls, and mail.
• Prepare and process documents, forms, and reports in a timely manner
• Assist with various administrative tasks to support team members, including preparing meeting materials, taking minutes, and organizing files
• Any other ad-hoc duties as assigned

Responsibilities:

• Provide administrative support to the directors, including managing calendars, scheduling meetings, coordinating travel arrangements, and handling expense claims.
• Facilitate meetings, conferences, seminars, events and business-related activities.
• Manage mail and deliveries, greet and assist walk-in guests, and handle phone calls efficiently.
• Oversee inventory management and purchasing for pantry supplies, stationery, and corporate gifts.
• Manage office maintenance and overall upkeep of office spaces, including meeting rooms and equipment.
• Ensure proper filing, creating of invoices.
• Other ad-hoc general admin and operational tasks as assigned.

Requirement:

• Excellent verbal and written communication skills
• Minimum 5 years of experience in secretary / personal assistant / admin role supporting Director level
• Able to work independently with minimal guidance and training
• Able to handle wide range of ad-hoc duties as and when assigned
• Able to multi-task
